Job Summary:
Our client is hiring a Proposal Coordinator to join
our dynamic Proposal Department. This position reports to the Senior
Proposal Manager and is responsible for supporting the proposal managers within
the Aviation Industry/Market throughout the proposal process by handling
key components associated with proposal development.
The Proposal Coordinator will perform administrative and
coordination tasks associated with the development, coordination, and
submission of proposals, qualifications, and other business development
materials in support of the aviation market/industry. The Coordinator
will support proposal efforts for small to medium pursuits and assist senior
team members in executing proposal strategies, schedules, and deliverables. The
Proposal Coordinator will also contribute to the maintenance of proposal content,
processes, and tools.
The Proposal Coordinator position will support a team based
in the United States and will need to work compatible hours (preferably Eastern
or Central time zones hours).
What We’re Looking For:
Required experience:
- 1+ years of experience in
proposals, marketing, business development support, or administrative
support
- Experience working with
documents, formatting, or coordination tasks in a professional environment
Required Knowledge, Skills and Abilities:
- Proficiency in Microsoft Office Suite
- Basic familiarity with Adobe InDesign or willingness
to learn
- Strong attention to detail and document formatting
skills
- Strong organizational and time management skills
- Ability to manage multiple tasks and deadlines with
guidance
- Effective written and verbal communication skills

Preferred experience:
- Experience supporting proposal, marketing, or business
development efforts for the aviation industry highly preferred
- Experience with document formatting, editing, or
coordination tasks
- Familiarity with shared databases or document
management systems
Preferred Certification, Licenses or Training:
- Basic training in
Adobe InDesign or Microsoft Office advanced features
Preferred Knowledge, Skills, and Abilities:
- Basic understanding of proposal development processes
(RFP/RFQ/SOQ)
- Familiarity with document formatting and editing best
practices
- Ability to learn proposal processes, tools, and
systems quickly
- Strong teamwork and collaboration skills
- Ability to sit for extended periods of time
What You’ll Be Working On:
- Supports proposal efforts
from initial notification through final submission for small to medium
pursuits. This includes attendance at scheduled kick-off, review and other
pursuit meetings; attending meetings to document action items and larger
strategy discussions; issuing subconsultant data calls and managing
received information.
- Assists Proposal Manager
and internal stakeholders with proposal coordination activities, including
schedules and compliance requirements.
- Helps Proposal Manager
develop and track proposal schedules, deadlines, and action items.
- Supports coordination of
proposal reviews under Proposal Manager’s direction, including draft
compilation and document distribution.
- Assists with proposal
production, formatting, editing, and document assembly.
- Coordinates corporate form
completion for proposal responses.
- Coordinates teaming
partner data calls and manages received information.
- Maintains proposal
materials including resumes, project descriptions, text libraries,
graphics, and pursuit documentation within the Department’s various
repositories.
- Performs basic quality
assurance/quality control (QA/QC) reviews for formatting, consistency, and
completeness during proposal development and drafting.
- Manages the proposal
closeout process following submission of a proposal.
- Assists with maintaining
employee resumes, project information, and credentials within Department
master documents.
- Contributes to maintaining
proposal templates, archives, and tools.
- Participates in team
meetings, training, and process improvement initiatives.
