Job Title: Transitions & Support Manager

Reports To: Executive Vice President, Systems & Technology

Job Summary: 

Manages the complex process of switching property management companies by serving as the primary point of contact, facilitating data transfer, communicating with all stakeholders and ensuring a smooth and documented handover of all responsibilities.  

Job Responsibilities:

  • Orchestrate the collaboration of both internal and external team members throughout the entire transition process to ensure continuity for the community and minimize disruption during the transition. 
  • Manage and maintain acquisition/disposition checklists, ensuring all action items are tracked and completed.
  • Compile team for Due Diligence audits and assemble findings to be presented to Leadership and Ownership team members.
  • Host bi-weekly team calls to review and update transition milestones.
  • Send weekly wrap-ups summarizing completed tasks and forecasting upcoming deadlines.
  • Set up new property and owner centers to support seamless operational onboarding.
  • Lead or support special projects as assigned, which will vary based on organizational needs.
  • Manage all data entry and imports into our PMS for new acquisitions. 
    • Pull reports and enter data for internal auditing and compliance tracking.
    • Conduct data entry tasks with a high level of accuracy to support business and HR operations.
    • Assist with additional projects during transition downtime, this includes data entry, documenting processes, 

Working Conditions: 

This role typically operates in a professional office environment and may be performed remotely/virtually. Occasional travel and evening/weekend work will be required. 

Physical Demands: 

  • Incumbents need to be able to stand, walk, and sit for extended periods of time.
  • Incumbents must be able to view computer screens, mobile devices, and other electronic equipment for extended periods of time where visual strain may result.
  • Incumbents need to be capable of comparing, copying, computing, compiling, analyzing, coordinating, synthesizing, negotiating, communicating, and instructing.
  • Ability to handle stressful situations and work with minimal supervision.

Knowledge, Skills, Abilities: 

  • Experience in property management with a familiarity of property acquisitions.
  • Proficient in Microsoft 365 applications.
  • Proficient in RealPage PMS is preferred.
  • Ability to work independently, prioritize tasks, and manage shifting deadlines.
  • Proficiency in customer service and interpersonal communication skills in order to effectively interact with clients, team members, and other business contacts, respond courteously to questions and requests, and stay calm when addressing and resolving customer problems.
  • College degree in business, marketing, or related field is preferred. Industry certifications (e.g. CPM, CAPS, CAM, etc.) also preferred.
