About the Role

We are looking for a proactive, tech-savvy, and highly organised Property Management Systems Administrator to become a key member of our client's growing holiday rental business. This role combines property management administration with systems ownership, ensuring the smooth day-to-day operation of the client's property management platform and supporting ongoing business growth.

As your first major project, you will assist with the migration from Guesty to Resly, helping ensure a smooth transition while learning the business and becoming the team's internal systems champion. Once implementation is complete, your primary focus will shift to maintaining the property management system, supporting operational processes, administering property data, and identifying opportunities for continuous improvement.

Key Responsibilities

Property Systems Administration

  • Set up and onboard new properties within the property management system.
  • Configure property settings, pricing structures, fees, availability, and system preferences.
  • Maintain accurate property descriptions, listing information, images, and operational data across all systems.
  • Ensure high standards of data accuracy and integrity through regular audits and updates.
  • Perform ongoing maintenance of the property management system and related business platforms.
  • Assist with troubleshooting system issues and coordinate resolutions where required.
  • Act as the internal point of contact for system-related queries and provide day-to-day support to team members.

Systems Improvement & Migration Support

  • Support the successful migration from Guesty to Resly while ensuring data accuracy and business continuity.
  • Learn new software platforms quickly and become the internal systems champion.
  • Identify opportunities to improve workflows, operational efficiency, and automation through technology.
  • Develop, maintain, and update Standard Operating Procedures (SOPs), user guides, and process documentation.
  • Assist in implementing future system enhancements, integrations, and business tools as required.
  • Deliver basic training and guidance to team members to encourage successful system adoption.

Administrative & Operational Support

  • Perform general administrative and data entry tasks to support daily business operations.
  • Assist with documentation, record management, and operational administration.
  • Support the management of a growing holiday rental portfolio by ensuring information remains organised, accurate, and accessible.
  • Collaborate with internal stakeholders to ensure operational processes run efficiently.
  • Assist with ad hoc operational and administrative tasks as required.


Other Responsibilities

  • Recommend process improvements that increase operational efficiency.
  • Maintain documentation for business processes and system workflows.
  • Support the ongoing optimisation and effective use of business systems.
  • Contribute to team success by assisting with additional operational and administrative tasks as required.
  • Perform other duties reasonably assigned by the client.


About You

  • 3+ years of experience in property management administration, operations support, administration, or a similar role.
  • Experience using property management software or other business systems.
  • Highly tech-savvy with the ability to quickly learn and adapt to new software platforms.
  • Strong organisational skills with excellent attention to detail and data accuracy.
  • Proven ability to work independently, take ownership of responsibilities, and manage multiple priorities.
  • Strong analytical and problem-solving skills with a continuous improvement mindset.
  • Excellent written and verbal communication skills.
  • Experience creating documentation, SOPs, or training materials is highly regarded.
  • Comfortable supporting software implementations, process improvements, or systems changes.
  • Experience with Resly is highly preferred.
  • Experience with Guesty, Conduit, or similar property management systems is highly regarded.
  • Familiarity with ActiveCampaign or similar CRM platforms is advantageous.
  • Comfortable working during Australian business hours.
  • A commitment to delivering excellent service while supporting both internal stakeholders and property owners.
