Our client is a fast-growing PropTech and non-bank property lender operating across Australia and New Zealand, specializing in tailored cash-flow solutions for real estate professionals, landlords, and homeowners. To support their expanding operations, they are seeking an experienced Paralegal to bring routine caveat management and secured-lending administration in-house. Working directly with the Australian team and retained legal counsel, you will take full ownership of the administrative legal workflow, ensuring precision across property title checks, loan documentation, and electronic settlement processes.
RESPONSIBILITIES:
- Manage the end-to-end administration of property caveats connected with secured lending facilities.
- Prepare caveat registration and discharge documentation using approved templates and procedures.
- Conduct preliminary title, ownership and property-detail checks.
- Coordinate caveat lodgements and withdrawals through PEXA once the business’s access and internal processes are established.
- Monitor caveat matters, settlement dates, loan repayments and discharge requirements.
- Liaise with internal lending teams, borrowers, external solicitors, conveyancers and other relevant parties.
- Review executed loan documents to confirm completeness, accuracy and consistency with approved terms.
- Prepare standard loan and security documents from established precedents.
- Draft minor amendments to standard agreements under instruction.
- Identify missing documents, inconsistencies, execution issues and matters requiring escalation.
- Maintain accurate matter files, caveat registers, document registers and compliance records.
- Assist in developing checklists, templates and standard operating procedures for the internal caveat workflow.
- Support the lending and loan-processing teams with routine property, security and documentation queries.
- Refer complex, disputed, non-standard or legally sensitive matters to retained legal counsel.
Requirements
- At least two years’ experience supporting Australian legal, conveyancing, property or secured-lending matters.
- Previous experience as a conveyancing paralegal, property paralegal, commercial paralegal or legal assistant.
- Demonstrated knowledge of caveat preparation, registration and discharge processes.
- Practical familiarity with PEXA and electronic property-settlement workflows.
- Experience reviewing loan, mortgage, security or commercial documentation.
- Strong understanding of Australian property and title-office processes.
- Excellent written English and professional communication skills.
- Exceptional accuracy, attention to detail and document-management ability.
- Ability to manage deadlines and work independently in a remote environment.
- Sound judgement regarding when a matter must be escalated for legal review.
