Pre-Litigation Case Management Assistant

We are seeking a highly organized and proactive Pre-Litigation Case Management Assistant to support our legal teams handling cases from client sign-up through demand preparation. The ideal candidate is bilingual in Spanish and English, detail-oriented, and experienced in client communication, case coordination, and legal administrative support.

Responsibilities:

• Conduct client check-in calls and provide case status updates, with a strong focus on Spanish-speaking clients.

• Request, track, and follow up on medical records and billing documentation.

• Verify insurance information and assist with property damage coordination.

• Schedule medical treatment appointments and confirm client attendance.

• Maintain accurate Filevine data entry, case notes, and document organization.

• Collect sign-up documents and follow up with newly retained clients to ensure complete case intake.

• Support pre-litigation teams with administrative and case management tasks.

• Maintain professional, compassionate, and timely communication with clients and external parties.

Requirements

• Fluent Spanish and English communication skills required.

• Strong organizational and multitasking abilities.

• Experience with Filevine or similar case management software preferred.

• Excellent client communication and customer service skills.

• High attention to detail and ability to manage deadlines.

• Ability to work independently in a remote environment.

• Professional handling of confidential and sensitive information.

• Experience in personal injury or legal case management preferred.

• Familiarity with pre-litigation processes in personal injury law.

• Experience coordinating medical records, insurance claims, and client intake.
