Rather than practicing law, we serve as an extension of our clients' teams by managing critical case-related workflows, coordinating communications, organizing records, and supporting the overall case management process. We are seeking an experienced and highly organized Personal Injury Case Manager to join our team. This is a fully remote position offering the opportunity to work with a collaborative team supporting leading personal injury law firms throughout the United States.
Position Overview
The Personal Injury Case Manager plays a critical role in supporting personal injury cases from intake through settlement. This position serves as a primary point of contact for clients while coordinating with attorneys, legal staff, medical providers, insurance companies, and other parties involved in the claims process.
The ideal candidate has experience managing personal injury cases, excels at client communication, understands medical treatment workflows, and can effectively manage multiple cases simultaneously while maintaining exceptional attention to detail.
This role requires strong organizational skills, professionalism, initiative, and the ability to work independently in a fast-paced remote environment.
Key Responsibilities
Case Management
- Manage a caseload of personal injury matters from intake through settlement or resolution.
- Monitor case progress and ensure all required tasks, follow-ups, and deadlines are completed in a timely manner.
- Maintain accurate and organized case files within the case management system.
- Track treatment status, records requests, insurance information, liens, and other case-related milestones.
- Identify delays or issues that may impact case progression and escalate concerns appropriately.
Client Communication
- Serve as a primary point of contact for clients throughout the life of their case.
- Maintain regular communication with clients regarding treatment updates, case status, outstanding documentation, and next steps.
- Gather information related to injuries, treatment, lost wages, insurance coverage, and other case-related matters.
- Provide compassionate, professional, and responsive customer service while building trust and maintaining strong client relationships.
- Document all client communications accurately and thoroughly.
Medical Records & Treatment Coordination
- Request, obtain, review, and organize medical records and billing statements.
- Follow up with healthcare providers regarding outstanding records and bills.
- Track client treatment progress and maintain accurate treatment timelines.
- Coordinate with medical providers regarding appointments, treatment updates, and record requests.
- Ensure all medical documentation is properly organized and available for case evaluation and settlement preparation.
Insurance & Third-Party Communication
- Communicate regularly with insurance adjusters, medical providers, lien holders, and other parties involved in the claim.
- Obtain and verify claim information, policy details, adjuster contact information, and coverage documentation.
- Follow up on outstanding requests and maintain consistent communication to keep cases moving forward.
- Maintain professional relationships while advocating for timely responses and documentation.
Demand Package Support
- Assist legal teams with preparing demand packages and supporting documentation.
- Compile medical records, billing records, police reports, photographs, insurance documents, wage loss documentation, and other evidence.
- Review files for completeness and identify missing documentation prior to demand preparation.
- Assist with treatment summaries, medical chronologies, and case reviews as needed.
Administrative Support
- Schedule client meetings, medical appointments, recorded statements, depositions, and other case-related activities.
- Calendar important deadlines and follow-up tasks.
- Maintain accurate notes and case updates within the case management system.
- Support attorneys and legal teams by ensuring files remain organized and current.
Requirements
Required Qualifications
- Minimum of 2 years of personal injury case management experience.
- Strong understanding of the personal injury claims process, including treatment coordination, records collection, demand preparation, and settlement workflows.
- Excellent communication and interpersonal skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to effectively manage a high-volume caseload.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong problem-solving and critical-thinking skills.
- Experience working with case management software and electronic file systems.
- Proficiency with Microsoft Office, Google Workspace, and related business software.
- Reliable internet connection and dedicated remote workspace.
Preferred Qualifications
- Experience working with Filevine, CasePeer, Litify, Clio, SmartAdvocate, Needles, or similar case management platforms.
- Experience preparing settlement demands and supporting documentation.
- Familiarity with medical records, billing records, health insurance liens, and bodily injury claims.
- Bilingual English/Spanish communication skills.
