About the Role

Knightscope is seeking a detail-oriented and highly organized Payroll Clerk to play a key role in a major payroll systems migration and to provide ongoing support to the Payroll team. In this role, you will gather, organize, and verify a large and time-sensitive volume of payroll-related data — historical payroll and multi-year tax records from ADP TotalSource and ADP Workforce Now, plus benefits and retirement plan data — and perform meticulous, large-scale comparisons to ensure a smooth and accurate transition to Knightscope’s new payroll system. This requires coordinating directly with ADP, People Operations, Finance/Accounting, and employees. Once the migration is complete, this role continues as an ongoing member of the Payroll team, supporting repetitive, comparison-heavy work — reconciling reports and data sets, checking work for accuracy, and maintaining organized, audit-ready records in Excel.


Key Responsibilities

  • Support the end-to-end payroll systems migration: download, extract, and organize multi-year historical payroll, timekeeping, and tax data from ADP TotalSource and ADP Workforce Now, including prior-year Forms 941/940, state and local withholding/unemployment filings, and W-2/W-3 records.
  • Coordinate directly with ADP account representatives and the new system’s implementation team to confirm data extraction formats, file specifications, and migration timelines.
  • Collect and reconcile benefits and retirement plan data processed through payroll, and verify employee-level records as needed.
  • Perform detailed side-by-side comparisons across multiple payroll reports, pay periods, and data exports to confirm accuracy and completeness — often across five or more data sets at a time.
  • Build, maintain, and troubleshoot Excel workbooks and formulas (VLOOKUP/XLOOKUP, pivot tables, conditional formatting) to support payroll reconciliation and reporting.
  • Identify and document discrepancies, escalate issues, and help build repeatable processes for future data migrations or system changes.
  • Provide ongoing payroll support after go-live: collect and verify timesheets, confirm overtime/double-time/shift differential calculations, and verify new hire tax, direct deposit, and onboarding payroll data.
  • Maintain strict confidentiality and data accuracy standards when handling sensitive employee and payroll information.


Required Qualifications

  • Strong Microsoft Excel skills, including VLOOKUP/XLOOKUP, pivot tables, and multi-file/report comparison techniques — this is the core skill set for the role.
  • An associate degree (2 years of college) in accounting, business administration, or a related field, OR 1–2 years of experience in bookkeeping, accounting, payroll, or payroll support.
  • Working knowledge of basic payroll or accounting principles (gross-to-net calculations, deductions, tax withholdings, general ledger basics).
  • Experience with ADP TotalSource and/or ADP Workforce Now strongly preferred — candidates with direct payroll software experience will be considered for the top of the pay range.
  • Exceptional attention to detail, organization, and accuracy when working with large volumes of repetitive or comparative data.
  • Strong time management skills, a self-starter mindset, and the ability to meet recurring payroll deadlines while managing a temporary increase in project workload.


Compensation & Benefits

Base Pay: $27.00 – $30.00 per hour, based on experience (ADP TotalSource/Workforce Now experience considered for top of range)
