We are seeking an organized, tenacious, and articulate Part-Time Lien & Case Coordinator to join our team at Bone & Spine Center. Operating in a specialized medical-legal capacity, this role serves as the vital link between our clinical practice, personal injury law firms, and case managers.
Your primary focus will be proactive outreach to law firms—tracking down the status of personal injury cases, verifying settlements, and providing seamless communication regarding patient care. The ideal candidate possesses a firm understanding of medical liens, personal injury workflows, and enjoys managing case tracking details with precision.
Schedule & Daily Focus
- Status: Part-Time (20 – 25 Hours / Week)
- Schedule Blocking; (Schedule will be set by the Practice)
- Morning Block: Monday – Friday, 8:00 AM – 12:30 PM PST
- Afternoon Block: Monday – Friday, 1:00 PM – 5:00 PM PST
- Timezone: US Pacific Standard Time (PST)
Top 3 Daily Tasks
- Law Firm & Attorney Outreach: Executing outbound calls to law firms and case managers to follow up on open personal injury cases and patient care status.
- Settlement & Lien Tracking: Tracking case progress, identifying settled cases, and updating practice management records regarding lien statuses.
- Legal & Medical Communication: Serving as a clear, responsive liaison between law offices and our medical staff to coordinate patient care updates and documentation.
Core Responsibilities
- Active Case Tracking: Conduct regular, structured follow-ups with legal teams to ascertain case stages, trial dates, and settlement progress for personal injury patients.
- Lien & Settlement Management: Log settlement notices, monitor outstanding medical liens, and maintain accurate ledger details in practice records.
- Attorney & Case Manager Liaison: Communicate updates regarding patient treatment plans, medical record requests, and clinical notes to law firms.
- Data Organization: Maintain organized case logs to ensure no open lien or personal injury
Requirements
Required Qualifications
- Medical-Legal / Personal Injury Background: Direct experience working as a Lien Coordinator, Case Manager, or Personal Injury Assistant in a medical office or legal setting.
- Outreach & Communication Skills: High comfort level conducting cold and warm outbound calls to law firms; clear, articulate, and fluent English speaking skills.
- Lien & PI Workflow Knowledge: Solid understanding of personal injury case lifecycles, medical liens, third-party liability, and legal settlements.
- Organization & Detail Focus: Exceptional tracking habits with a systematic approach to managing high volumes of open files.
- Remote Setup: A private, HIPAA-compliant home workspace equipped with high-speed internet, a reliable computer, and a clear headset.
Nice-to-Have / Preferred Qualifications
- Specialty Experience: Background supporting Orthopedics, Spine, Pain Management, or Physical Medicine & Rehabilitation (PM&R) clinics.
- Bilingual Skills: Professional fluency in Spanish alongside fluent English (a plus for legal client communications).
