The Operations Specialist provides administrative and business support to Field Service leaders, including managing invoicing, purchasing, and order entry. They are responsible for monitoring revenue accrual, maintaining activity logs, and ensuring accurate timekeeping records.
We’re looking for an Operations Specialist to provide business support and administrative functions within Field Services. They support Field Service operational leaders across all commercial business processes and required communications, including final invoicing. They will assist regional operational leadership in quoting, order entry, purchasing, pricing change orders, and invoicing customers.
What You’ll Do:
Manage and update the division’s monthly activity log and backlog, maintaining accuracy and timeliness.
Support developing and maintaining business forecasts to provide critical insights for strategic decision-making
Monitor revenue accrual and clearance processes, ensuring profit margins align with company goals.
Price Change Orders
Analyze and track labor and expenses to evaluate and improve cost efficiencies
Oversee daily administrative operations to ensure a smooth and efficient office environment
Ensure accurate and timely entry of daily and weekly timekeeping records
Retrieve and verify Purchase Orders from portals and customers, ensuring accurate commercial data
Generate fixed-price and time & material invoices
Invoice all tickets.
Maintain confidentiality of sensitive commercial and financial data, ensuring data protection and avoiding conflicts of interest
The Experience We’re Looking For:
Minimum 3 years' experience in service business billing or related function
Strong organizational and multitasking abilities
Comfortable working cross-functionally and managing multiple priorities
Proficient with Microsoft Outlook, Word, Excel, PowerPoint, and Teams
Proficient using CRM and ERP systems, enabling efficient management of customer relations and enterprise resource planning.
Additional Requirements:
Able to work remotely with minimal travel
High school diploma or GED required
Legally authorized to work in the United States
Valid driver's license
Must successfully complete a background check and pre-employment/random drug tests
Bonus Points for:
Bachelor’s degree in business or related field preferred (or equivalent experience)
Previous experience in the power generation industry
