Position Overview
The Operations Systems Specialist is the backbone of Taste Buds Kitchen’s operational infrastructure and tech integration across our franchise network. Serving as our internal systems architect and project manager, this high-impact individual contributor role ensures our platforms, tools, and manuals work seamlessly to maximize efficiency for corporate and franchise teams.
You will own core operations platforms (Operandio, CRM logic, tech stack integrations), maintain system-wide SOPs, and lead cross-functional operations and marketing projects from kickoff through full adoption.
Key Responsibilities
1. Documentation & Compliance Architecture
Brand Documentation: Author and update all central system documentation, including the Brand Operations Manual, SOPs, and compliance checklists.
Platform Administration: Serve as super-admin for Operandio (intranet/SOP platform), managing account hierarchies, templates, and permissions.
Communications & Compliance: Publish monthly briefs and mandatory checklist action items; track system-wide compliance and brand standard audits across all locations.
2. Tech Stack Optimization & Selection
Tech Stack Management: Oversee vendor evaluation, setup, and health monitoring to ensure software tools connect seamlessly and eliminate operational friction.
Automations & Workflows: Build and optimize system integrations using n8n, webhooks, Zapier, and CRM triggers to automate data flow between corporate and franchise tools.
Troubleshooting: Act as the internal SME for complex platform configurations, API integrations, and technical escalations.
3. System Automations & Workflows
Initiative Management: Lead operations and marketing projects (e.g., website rebuilds, vendor transitions, new program rollouts) from design to launch.
Rollout Architecture: Partner with internal SMEs to translate strategies into launch timelines and actionable execution toolkits for franchisees.
Qualifications & Requirements
Experience: 3–5+ years in operational systems administration, tech stack management, or project management (franchise/multi-unit experience preferred).
Technical Skills: Hands-on super-admin experience with operations/SOP platforms (Operandio, Trainual, Compass); proficiency building automations via n8n, Zapier, webhooks, and CRM workflows; fluency with project tools.
Core Competencies: Detail-obsessed, strong process mindset to translate complex workflows into simple SOPs, and proven project ownership in a hybrid work environment.
Performance Metrics (KPIs)
System Compliance: High franchisee completion rate on mandatory checklists, audits, and SOP sign-offs.
Project Delivery: On-time, within-scope rollout of assigned cross-functional initiatives.
Tech Stack Optimization & Vendor ROI: Selection and maintenance of fit-for-purpose vendor solutions (the right tools in the right roles), demonstrated by high system adoption, minimized software redundancy, and max tool ROI.
System Health & Efficiency: Low integration bug rates, high API uptime, and rapid resolution of technical platform issues.
