Job Summary


The Operations Associate II provides comprehensive administrative and office management support to ensure the efficient day-to-day operation of the organization. Responsibilities include coordinating office supplies and inventory, managing vendor relationships, organizing meeting spaces, tracking invoices and billing, and maintaining administrative activities within project management systems. The position also oversees the organization and governance of shared server and document storage environments, ensuring compliance with established processes and accurate recordkeeping. Success in this role requires strong organizational skills, attention to detail, the ability to manage multiple priorities independently, and a commitment to delivering high-quality support in a collaborative, fast-paced environment.


Key Responsibilities:

Administrative Support

  • Provides administrative support.
  • Provides office management support.
  • Completes data entry and related tasks.
  • Produces and generates various reports.
  • Tracks invoices and billing.
  • Responsible for maintenance of administrative tasks in project management tool (PPM).

Office Operations & Facilities Management

  • Coordinates office supply orders.
  • Maintains inventory of staff and supplies for main offices and remote staff.
  • Acts as a point person for any office related issues.
  • Maintains relationships with vendors, scheduling and organizing shared meeting spaces.

Records Management & Organizational Compliance

  • Organizes and enforces organizational rules for the office share drive, maintaining orderly documentation of projects and proposals in the shared server space.
  • Responsible for the organization and enforcing organizational rules of server space.

Team Collaboration & Project Support

  • Works within a team to accomplish other duties on projects to meet necessary deadlines.

Research & Analysis

  • Researches healthcare trends and topics.

Required Skills:

  • Ability to manage own schedule and work independently with minimal supervision.
  • Commitment to exceptional client service.
  • Results-focused achievement orientation; able to estimate one’s own work in a rapidly changing, agile environment.
  • Ability to manage and coordinate several ongoing assignments while meeting deadlines and performance goals.
  • Highly refined organizational skills
  • Fluent in writing business material, verbal communications, and interpersonal skills.
  • Fast learner, with thorough and unrelenting attention to detail.
  • Successful working in a team-oriented, collaborative environment.
  • Technology Requirements: Outlook, Excel, Word (Comfortable); Internet Searching (Very High Level).

Qualifications:

  • Education: High school diploma or equivalent required, 2- or 4-year degree preferred.
  • Experience: Minimum two years of experience in a professional office setting with relevant organizational and executive support experience.

Compensation: $18.00 - $21.50 hourly

This role is eligible for a base salary within the posted range. Actual compensation will be determined based on a variety of factors, including skills, experience, and geographic location. Compensation may vary for positions based in high cost-of-labor markets.
