Job Summary

The Operations Analyst role is the operational and administrative engine of the Student Impact team, providing support to the VP, Project Manager, and Chapter Success managers. You will own the recurring, detail-intensive work that keeps our programs running: pulling and processing data, generating reports, managing student communications, and ensuring our materials and processes stay high quality so that Chapter Success Managers, project owners, and senior leaders can focus on coaching, strategy, and relationships.

Just as importantly, you will be the organization's process builder. You will take work that is repetitive, partially documented, or explained only verbally, and turn it into clear, reliable, repeatable processes. By documenting the logic, branching, and contingencies behind each process and running it like clockwork, you create the foundation for automation—serving as the "human-first" step that allows us to hand well-defined work off to AI agents over time.

This role is a fit for an experienced, AI-literate operator—an "analytical athlete" who can run with projects, find and synthesize the data, apply a human lens, and improve how the organization works day-to-day. It is execution-heavy and proactive: success means working with higher velocity and clarity, looking around corners, and continually finding ways to simplify and automate.

This role functions as a force multiplier for the Programs team—owning the operational backbone and process foundation that free Chapter Success Managers and leaders for their highest-leverage work and accelerate the organization's shift toward automation.

What You'll Do
Process Documentation and Automation
  • Take processes that are written, partially written, or explained only verbally and turn them into clear, complete, repeatable process documents.
  • Watch a recorded walkthrough (e.g., a Loom of a teammate completing a task) and produce a thorough process document that captures each step, branching logic, and contingencies.
  • Run established processes like clockwork—accurately, on time, and exactly as instructed—while refining and tightening the steps as you go.
  • Map the underlying logic of each process so it is ready to be ported into an automated agent; serve as the "human-first" stage of automation.
  • Partner with AI Enablement to identify which processes are ready to automate, then take on new processes as existing ones are handed off to agents.
Operational Execution and Reporting
  • Own recurring operational tasks across the Programs team—pulling student lists, processing stipends, tracking who is completing Industry Introductions asynchronously, and similar reporting.
  • Respond reliably to the day-to-day data and reporting requests that surface in meetings and on Slack, with speed and accuracy.
  • Own the operational side of internal and external surveys—compiling results into clear, readable, well-structured formats the team can use.
  • Student data management (clean, filter, and analyze data).
  • Maintain ongoing retention reporting and other recurring program reporting.
  • Apply a human lens to data—surfacing the "so what" where it matters—rather than producing numbers alone.
Quality Assurance of Student-Facing Materials
  • Own the upkeep of student-facing materials year-round—ensuring they are current, accurate, and consistently high quality. This includes formatting decks, videos, lesson plans etc.
  • Lead the update of student-facing materials for each program year, coordinating the detailed work so Chapter Success Managers are not pulled off coaching.
  • Serve as the quality-assurance backstop on program materials, catching errors and inconsistencies before they reach students.
Student & Stakeholder Communications
  • Draft and send student communications, managing distribution through the appropriate program inboxes.
  • Coordinate outreach and notifications so project owners and Chapter Success Managers are freed from the operational steps of getting comms out the door.
  • Track responses and follow-ups to ensure nothing falls through the cracks.
Cross-Team Operational Support
  • Support recurring operational workflows across teams, including retention and offboarding processes.
    Pinch-hit on time-sensitive operational needs, including support for documenting and running development (fundraising) processes.
  • Continuously scan for operational work that is not the best use of a Chapter Success Manager's or project owner's time, and take ownership of it.
  • Draft internal and external communications that clearly convey student impact, outcomes, and program value to key stakeholders.
  • Automation support - organizing materials for projects into cohesive content.

  • Free Student Impact Team, project owners, and leaders to focus on coaching, strategy, and relationships by absorbing recurring operational work.
  • Turn undocumented, repetitive work into clean, reliable processes—then into automation-ready logic.
  • Raise and sustain the quality of student-facing materials across the full program year.
  • Increase the speed, clarity, and accountability of how the Programs team operates day-to-day.


What You'll Need
Leadership & Execution

  • Ability to run multiple workstreams with competing priorities at high velocity.

  • Clear, concise written and verbal communication.
Foundational Qualifications
  • Minimum of 3 years of experience in operations, project management, administration, executive support, or similar roles
  • Proven ability to manage projects end-to-end in fast-paced environments.
  • Highly AI-literate—able to use modern systems and AI tools to find, pull, and synthesize data, and to understand how data sets relate and interact.
  • Demonstrated ability to build, document, and run repeatable processes—including branching logic and contingencies.
  • Comfort owning reporting and survey compilation (e.g., student data, retention reporting) and presenting it clearly.
  • Fluency with Google Workspace, Notion, Slack, and modern AI/automation tools.
  • Experience working remotely and across time zones.
  • C1 fluency in English.
