The Nursing Clinical Placement Advisor is responsible for student communication, clinical site development, placement matching, and placement documentation for nursing programs. This role serves as a liaison between students, university partners, nursing programs, clinical sites, preceptors, supervisors, and internal team members to help ensure a high-quality clinical experience.

Experience in clinical placement coordination is preferred. Experience supporting nursing programs, nurse practitioner programs, or other healthcare education programs is a strong plus.

Key Responsibilities:

Student Communication

  • Review assigned student caseloads and clinical placement materials.
  • Conduct introductory calls or meetings with students to understand their clinical needs, specialty requirements, location preferences, schedule availability, transportation access, and placement goals.
  • Maintain regular communication with students throughout the placement process.
  • Provide placement progress updates to students who are not yet matched.
  • Conduct onboarding check-ins with confirmed students before the start of clinical placement.
  • Respond to student emails and phone calls in a timely, professional, and supportive manner.
  • Communicate with empathy, professionalism, and sound judgment, including during challenging or time-sensitive placement situations.
  • Support student success by helping prevent placement delays and ensuring students understand next steps.

Clinical Site Development

  • Conduct outreach to new and existing clinical sites to identify placement opportunities for nursing students.
  • Contact hospitals, health systems, outpatient clinics, private practices, community health centers, long-term care facilities, behavioral health sites, and other healthcare organizations to assess placement availability.
  • Research new potential preceptors and clinical sites for students to complete required nursing clinical rotations or field experiences.
  • Confirm site requirements, student capacity, supervision or preceptor availability, onboarding requirements, required documentation, clinical hour needs, and placement timelines.
  • Build and maintain strong relationships with clinical partners, preceptors, supervisors, and university stakeholders.
  • Communicate clearly with clinical sites regarding placement expectations, student needs, nursing program requirements, and timelines.
  • Collect site information, preceptor details, onboarding requirements, affiliation agreement needs, and next steps.
  • Document all outreach, site responses, and placement updates in the appropriate tracking systems.
  • Identify when a site is not appropriate due to lack of qualified supervision, inability to meet clinical hour requirements, onboarding barriers, contract limitations, site disinterest, or other concerns.

Matching

  • Support the student-to-site matching process based on student needs, nursing program requirements, clinical specialty requirements, geographic preferences, site availability, preceptor qualifications, and program expectations.
  • Present appropriate clinical placement opportunities to students and clinical partners.
  • Track student matching progress, including warm leads, pending interviews, approved placements, and confirmed placements.
  • Work toward established placement timelines and key performance indicators related to student matching and confirmation.
  • Collaborate with university partners, nursing program leadership, faculty, internal team members, and clinical sites to resolve placement-related concerns.
  • Serve as a liaison between students, universities, nursing programs, clinical sites, and preceptors throughout the matching and confirmation process.
  • Escalate complex site, student, preceptor, supervision, or compliance concerns to the appropriate leader.

Auditing and Documentation

  • Maintain accurate and up-to-date student, site, preceptor, supervisor, and placement records across required systems.
  • Audit caseload information regularly to ensure internal trackers, placement platforms, and student records align.
  • Provide weekly caseload updates to leadership, including student status, matching progress, warm leads, confirmed placements, and outstanding site needs.
  • Review student placement documents, which may include applications, resumes, clinical preference forms, onboarding documents, compliance records, confirmation forms, preceptor information, and placement dates.
  • Confirm that preceptor, site, student, and placement information is accurate before final placement confirmation.
  • Ensure placement start dates, end dates, required hours, preceptor credentials, supervision information, and site details are correctly documented.
  • Support audit preparation and documentation review to ensure placement records meet company, program, and university partner expectations.
  • Follow company and university partner policies related to data privacy, confidentiality, and student records.

Performance Expectations

  • Maintain consistent and professional communication with assigned students.
  • Conduct regular outreach to new and existing clinical sites and preceptors.
  • Document all outreach, student updates, site responses, and placement activity in required systems.
  • Meet established key performance indicators related to site development, student matching, placement confirmation, and documentation.
  • Demonstrate strong customer service, follow-through, organization, and problem-solving.
  • Represent Alchemy professionally in all communication with students, clinical sites, preceptors, nursing programs, and university partners.
  • Support the overall goal of securing appropriate, timely, and educationally sound clinical placements for nursing students.

Qualifications

  • Bachelor’s degree from a regionally accredited institution required.
  • Experience in clinical placement, healthcare education, student support, clinical coordination, recruitment, advising, or partnership development preferred.
  • Experience supporting nursing programs, nurse practitioner programs, or other healthcare training programs strongly preferred.
  • Experience working in a metrics-driven environment preferred.
  • Strong written and verbal communication skills.
  • Excellent organization, time management, follow-up, and tracking skills.
  • Ability to manage a student caseload and multiple clinical site relationships at the same time.
  • Comfortable communicating professionally by phone, Zoom, and email.
  • Proficient with Microsoft Office, Google Workspace, spreadsheets, Salesforce, or similar tracking and placement systems.
  • Ability to work independently while collaborating with a remote team.
  • Professional judgment and discretion when handling student information, site concerns, and sensitive placement issues.

Preferred Skills

  • Familiarity with nursing clinical rotation requirements, clinical hour requirements, preceptor expectations, and onboarding processes.
  • Experience communicating with hospitals, outpatient clinics, private practices, community health centers, behavioral health agencies, specialty care providers, long-term care facilities, or preceptors.
  • Understanding of nursing or nurse practitioner program structures and clinical placement workflows.
  • Ability to assess placement fit based on student needs, site capacity, clinical specialty, preceptor availability, and program requirements.
  • Experience with systems such as Salesforce, Tevera, Exxat, Typhon, CastleBranch, ClickUp, Excel, Google Sheets, or similar platforms.
  • Strong problem-solving skills and the ability to remain calm and professional under pressure.

Work Environment
This position may be performed in a virtual work environment. The role requires frequent email, phone, and video communication, database tracking, student advising, clinical site outreach, onboarding coordination, and collaboration with internal and external partners.
