Memory Support Scheduler

Position Overview

We are looking for a highly organized and empathetic Memory Support Scheduler to serve as the first point of contact for families seeking clarity on their loved one’s cognitive health. This role is critical in bridging the gap between primary care referral and clinical evaluation.



You will be responsible for the complex logistics of scheduling cognitive consults across multiple platforms, including telehealth and in-clinic visits. Because you will be speaking with families who may be stressed or overwhelmed by a potential dementia diagnosis, a calm, professional, and patient-centered phone manner is essential.

Key Responsibilities 

  • Outreach & Intake: Proactively reach out to families and patients following a referral for cognitive concerns to explain the evaluation process and initiate scheduling. 

  • Multi-Channel Scheduling: Coordinate and confirm appointments across various service types: 

  • Telehealth: Ensuring the family has the technology and links ready. 

  • In-Clinic: Managing slots across multiple physical locations in Florida. 

  • Family Liaison: Act as a "warm" voice for the organization, answering questions about what the evaluation entails and ensuring all pre-visit paperwork is completed. 

  • Calendar Management: Balance the schedules of multiple APRNs to maximize patient access and minimize wait times. 

  • Follow-up Coordination: Proactively reschedule "no-shows" and manage a waitlist to ensure the clinic operates at high efficiency. 

 

Qualifications 

  • Experience: 2+ years of medical scheduling or patient coordination experience (experience in neurology, geriatrics, or behavioral health is a significant plus). 

  • Communication Skills: Exceptional phone etiquette. You must be able to communicate with seniors and their caregivers with patience, clarity, and empathy. 

  • Technical Proficiency: Experience with EHR/EMR systems and a high level of comfort with video conferencing platforms. 

  • Attention to Detail: Ability to manage complex calendars across different time zones . 

 

Required Skills 

  • Compassion: The ability to handle sensitive conversations regarding cognitive decline with dignity and respect. 

  • Problem Solving: A "logistics mindset" to help families overcome barriers to care (e.g., helping a tech-averse senior log into a telehealth portal). 

  • Self-Starter: As a remote employee, you must be disciplined in managing your daily call volume and administrative tasks independently.
