Position Summary

As a Marketing Operations & Project Manager, you will serve as the operational backbone of the Marketing team. You are a detail-oriented, systems-minded professional who thrives at the intersection of marketing technology, data, and cross-functional coordination. You will own the marketing technology infrastructure, ensure data integrity and compliance, drive process optimization, and provide project management coordination across the Marketing team to improve execution speed and campaign effectiveness.

This role is ideal for someone who is equally comfortable building a HubSpot workflow, managing project board(s) for teams, and presenting data insights to senior stakeholders. You will work closely with internal stakeholders to ensure seamless alignment across marketing systems, data, and initiatives (including the Sr. Director of Growth Marketing, Sr. Director of Product Marketing, Sr. Growth Marketing Managers, Creative Director, Digital Marketing Manager, RevOps, and Sales).

AI-forward mindset: You don't wait for AI to be handed to you; you experiment with it, identify where it reduces friction, implement the solutions, and bring others along. You're comfortable using tools like Claude CoWork, HubSpot Breeze AI, and Monday.com AI to improve how the team operates.

What You’ll Do:

MarTech Stack & HubSpot Ownership

  • Serve as the primary administrator and system owner of the marketing technology stack, with a focus on HubSpot Marketing Hub, to ensure seamless integration and scalability.

  • Build and maintain non-campaign HubSpot workflows, forms, automation sequences, and nurture logic that support the broader Marketing team’s campaign and communications needs.

  • Leverage HubSpot's native AI capabilities — including Breeze AI, Copilot, predictive lead scoring, and plain-language workflow drafting — to enhance automation, accelerate development, and improve lead intelligence and reporting efficiency.

  • Evaluate, recommend, and implement new marketing tools and integrations that align with team goals and improve operational efficiency.

  • Serve as the power-user resource for the Marketing team on HubSpot and related platforms.

Data Governance, CRM & Compliance

  • Own Marketing's layer of CRM management within HubSpot, including marketing data governance, contact and list infrastructure, campaign tracking, and compliance with privacy regulations (GDPR, CCPA, CAN-SPAM) as they apply to marketing communications.

  • Coordinate data governance practices with RevOps to ensure alignment between marketing and sales data.

  • Maintain data integrity and consistency across all marketing platforms to support reliable reporting and attribution.

  • Oversee lead management processes, including reviewing and routing leads to the Sales team in an accurate and timely manner.

Reporting, Analytics & Dashboards

  • Design and maintain marketing dashboards and reporting infrastructure in HubSpot and other analytics tools to track KPIs and provide actionable insights.

  • Leverage AI-assisted analytics and natural language querying tools to accelerate insight generation and ad hoc reporting, reducing dependency on manual data pulls.

  • Support pipeline growth and acceleration by partnering with Marketing, Sales, and RevOps on funnel performance reporting and optimization.

  • Develop and iterate on attribution models and reporting frameworks that enable data-driven decision-making across the Marketing team.

Process Optimization & Automation

  • Identify and resolve operational inefficiencies across the Marketing team’s workflows and systems.

  • Design and implement scalable automation sequences to streamline processes, improve campaign execution, and reduce manual work.

  • Identify opportunities to deploy AI-assisted workflows — including prompt-based automation, AI content review, and tool-specific AI features — to reduce manual lift and improve output quality across the team.

  • Champion and document AI workflow adoption across the team; build repeatable playbooks so AI gains are scalable, not individual.

  • Manage new customer welcome gift coordination as part of broader campaign operations.

Marketing Project Management

  • Own the Marketing team’s project intake process — managing how new requests come in, get prioritized, and are tracked to completion.

  • Serve as the primary administrator of the team’s Monday.com workspace, including boards, workflows, templates, and status tracking.

  • Leverage monday.com's AI capabilities — including AI-generated status summaries, automated workflow building, and the AI Notetaker — to reduce manual coordination overhead and keep the team's project board actionable.

  • Champion AI-assisted coordination tools — including Claude CoWork — for task automation, brief drafting, and cross-functional communication.

  • Maintain the Marketing team’s campaign operations calendar and ensure cross-functional dependencies are visible and managed proactively.

  • Coordinate timelines and shared initiatives across the Growth Marketing team, Digital Marketing, Product Marketing, Creative and Sr. Performance Marketing Managers to reduce friction and improve delivery.

  • Provide regular status updates to Marketing leadership on team projects and operational health.

  • Set benchmarks, monitor interactions, and optimize for future deliverables.

What You’ll Bring

  • 5+ years of experience in marketing operations, marketing technology, or a related role.

  • Hands-on expertise with HubSpot Marketing Hub, including workflows, forms, lists, campaigns, and reporting.

  • Proficiency with project management platforms for Marketing projects (Monday.com. is preferred but not required)

  • Strong understanding of CRM systems — HubSpot preferred, Salesforce experience considered — including data governance and marketing data best practices.

  • Solid understanding of compliance and data privacy regulations (GDPR, CCPA, CAN-SPAM).

  • Strong analytical skills with the ability to translate data into clear, actionable insights for non-technical audiences.

  • Excellent communication skills, bringing the executive presence needed to share insights with leadership and support internal team members.

  • Highly organized, self-directed, comfortable operating in ambiguity and with autonomy and cross-functional collaboration.

It Would Be Great If You Had:

  • Bachelor’s degree in Marketing, Information Systems, Business, or a related field.

  • Familiarity with HubSpot AI features (Breeze AI, Copilot, predictive scoring) or a demonstrated ability to quickly adopt and apply AI capabilities within existing platforms.

  • Familiarity with Claude CoWork

  • Experience with marketing analytics tools and dashboard creation (e.g., HubSpot reporting, Google Analytics, Tableau, or similar).

  • Solid project management experience, particularly in managing multiple concurrent initiatives in a fast-paced environment.

Full-time positions are scheduled to work 40 hours per week, M-F unless required otherwise by projects. Part-time positions are scheduled to work a maximum of 30 hours per week. Equipment, benefits, and perks are not provided to part-time or temporary employees.
