Summary

We’re looking for an organized, detail-oriented Marketing Coordinator to provide day-to-day project and administrative support to the marketing team. This is a hands-on role for someone early in their marketing career who is eager to learn and gain experience across a variety of marketing activities.

The Marketing Coordinator will help keep projects organized and moving by maintaining project trackers and calendars, coordinating events and marketing materials, communicating with vendors, organizing files and assets, and supporting other day-to-day marketing needs across Acelpa Health and its affiliated brands.

The ideal candidate is highly organized, dependable, proactive, and comfortable managing multiple tasks and deadlines in a fast-paced environment.

Responsibilities

· Maintain marketing project trackers, calendars, task lists, and deadlines in Monday.com.

· Help coordinate marketing projects by tracking deliverables, approvals, outstanding items, and next steps.

· Follow up with team members, internal stakeholders, agencies, and vendors on routine project needs.

· Coordinate updates and revisions to marketing collateral and route materials through internal review and approval processes.

· Support conference, trade show, sponsorship, and event logistics, including registrations, shipments, promotional materials, signage, and deadlines.

· Assist with ordering, tracking, and organizing printed materials, promotional items, and other marketing assets.

· Maintain organized digital files, templates, collateral libraries, and marketing resources.

· Support vendor coordination, estimates, purchase requests, invoices, and expense tracking.

· Assist with meeting scheduling, notes, action items, and follow-up.

· Support CRM and lead-management activities, including list cleanup, data entry, and event lead uploads.

· Assist with basic website, social media, email, and content updates as needed.

· Provide administrative and project support for other marketing initiatives and ad hoc requests.

Qualifications

· Bachelor’s degree in marketing, communications, business, or a related field preferred; recent graduates are encouraged to apply.

· 0–2 years of marketing, communications, project coordination, administrative, or related experience; relevant internships count.

· Strong organizational skills and exceptional attention to detail.

· Ability to manage multiple assignments and deadlines at the same time.

· Strong written and verbal communication skills.

· Dependable follow-through and willingness to ask questions when direction is unclear.

· Comfortable working independently in a remote environment.

· Proficiency with Microsoft Office, including Outlook, Word, PowerPoint, and Excel.

· Familiarity with project-management tools such as Monday.com, Asana, or Smartsheet is a plus.

· Familiarity with Canva, Adobe Creative Suite, CRM platforms, or email/social media tools is a plus.

· Healthcare experience is a plus but not required.

What success looks like

Within the first 6 months, this person should be able to reliably maintain project trackers and calendars, keep marketing files and resources organized, coordinate routine event and vendor logistics, follow up on outstanding items without being prompted every time, and independently handle recurring administrative marketing tasks.
