Job Role: Marketing and Sales Administrator

Compensation range: $1,500 AUD - $2,000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.

Who The Client Is: Our company is a thriving real estate agency in Brisbane’s south-west, with a principal who lists and sells at a strong pace, an in-house finance broker, and a loyal local client base built over many years. Appraisal requests are coming in fast, and the agency is ready to add a sharp, organised operator to keep every lead warm and every opportunity moving.

Role Overview: You’ll sit at the centre of the agency’s growth engine. You’ll own a database of 30,000+ contacts, keep it clean and organised, and run a consistent nurture program so past clients, buyers and potential sellers hear from us at the right time. You’ll be on the phones connecting with homeowners, qualifying appraisal leads and booking them in for the principal. You’ll also support marketing and bring practical AI and automation skills that make every follow-up faster and more reliable.

Key Responsibilities: 

Database & CRM ownership

• Clean, de-duplicate, update and segment approx. 25,000 existing contacts plus 5,000–10,000 newer buyer and seller contacts.
• Run a structured 6–12 month nurture cadence so every contact receives timely, relevant touchpoints.
• Log every call, email and outcome accurately so the CRM stays the single source of truth.

Phones & lead nurturing

• Make value-led outbound calls: just listed, just sold, upcoming auctions in the street, and free market report offers.
• Nurture appraisal leads, qualify their timing and motivation, and book appraisals directly into the principal’s calendar.
• Hand over warm, ready-to-list clients with clear notes, and refer finance opportunities to the in-house broker.

Marketing support

• Build and send email and SMS campaigns to targeted database segments.
• Prepare market updates and suburb reports that give homeowners genuine value.
• Support social media content and scheduling alongside the agency’s existing marketing.

AI & automation

• Set up automated follow-ups across SMS, email and CRM workflows using tools such as n8n, Make, or built-in CRM automation.
• Monitor automations for accuracy and tone, and refine them to lift response and booking rates.

Additional sales administration

• Prepare sale contracts using approved templates and instructions; enter details, coordinate signing and distribute completed copies to relevant parties. 
• Prepare and process Form 6 appointment documents; check details and signatures, follow up outstanding items and file completed records, subject to principal review.

Reception and general administration cover 

• When the receptionist is away, answer and direct calls, respond to general enquiries, record messages, manage appointments and assist with routine administrative tasks.

Required Skills and Qualifications:

• 2-3+ years in a sales admin, marketing admin or client-facing role, ideally within Australian real estate.
• Excellent spoken and written English with a warm, confident phone manner that Australian homeowners respond to.
• Hands-on CRM experience and a genuine love of clean, well-organised data.
• Comfortable making outbound calls daily and energised by booking results.
• Confident using AI tools and automation platforms to work smarter.
• Self-directed and output-focused: you plan your day, deliver consistently and report progress proactively.

Bonus Skills:

• Australian real estate CRMs such as Rex, VaultRE, AgentBox or Box+Dice.
• Email marketing platforms, Canva, and social scheduling tools.
• Familiarity with Australian property terms: appraisals, auctions, listings, settlements.
