The Maintenance Co-Ordinator works in a fast-paced environment ensuring that all the maintenance work is planned, delivered and executed in the most effective, efficient and effortless way possible for our Holiday Properties. You will be responsible for driving the efficiency of the maintenance operations by planning and communicating with other internal teams and acting as their internal contractor.

The Maintenance Co-Ordinator is the first point of contact with our clients and is responsible for the receipt, input and processing of all maintenance requests and is a vital part of our company’s maintenance activities and quality control process.

As the Maintenance Co-Ordinator you will schedule, and manage the maintenance supply and services for the business and organise third part contractors. You will assist the team with administrative tasks, answering calls to build effective relationships with our owners, guests and team members to ensure we build effective relationships, through trust, always having an approachable, friendly and helpful attitude. This will ensure our customers feel reassured that we always have their interests at the heart of everything we do.


Main duties and key result areas:


This will include, but not limited to the following duties: 
- Answer the telephone promptly & deal with enquiries in a helpful, courteous and welcoming manner, being aware of the need to maintain confidentiality regarding colleagues and customers. 
- Able to prioritise and deliver against SLA"s (Service Level Agreements) for work in our holiday homes and by taking an overview of the needs of the business as a whole. 
- Deliver a facilities Management service to other departments, treating them as an internal customer and responding to their maintenance requests by planning and organizing via insourcing or outsourcing to deliver the highest standards at the best value. 
- Respond to maintenance requests by planning the fastest most cost-effective way possible to complete the job. 
- Recharge parts (and labour) internally and accurately. 
- Maintain all administrative systems to enable internal customers to self-serve and have access to live job statuses, so they can communicate effectively with any owner or guest queries. 
- Scheduling and allocation of work. 
- Responding to maintenance requests on fixflo/closing jobs on fixflo. 
- Responding to maintenance emails allocated (pest control, appliances, meter readings)
- Keeping filling systems and documents in order, adding quotes, pictures, documents etc. on fixflo. 
- Create accounts, adding new properties.  
- Coordinate and manage the compliance to each property. 
- Run daily and weekly compliance reports for internal and external stakeholders. 
- Coordinate and schedule compliance certificates for our holiday properties 
- Ensure compliance works are completed on time and paperwork is completed and filed 


To be considered for this role you MUST :

- Speak fluent English
- Proficient English writing skills
- The ability to present information confidently at all levels
- Be confident on the telephone
- Previous experience in a similar role or Property Managment/Property Maintenance would be desirable
- Excel at multi-tasking, organisation and time management
- Great administrative skills
- Be able to create Reports
- Be computer literate and able to learn new digital platforms and systems quickly and effectively.
- Ability to empathise with the customer and understand their circumstances
- Ability to remain calm under pressure, especially during busy periods
- Be Personable
- Have Strong decision making skills
- An understanding of general repairs around property would be desirable

You do need to have excellent written and verbal English skills. It’s also important that you know how to use the applications we listed below. You don’t need to be an expert in all of them, but you need to be at least familiar with most of them.

Project management software (We currently use Trello)
Guesty (Not essential but desirable)
Breezeway (Not essential but desirable)
FixFlo (Not essential but desirable)

This is a full-time position (37.5 hours per week), working Monday to Friday 9am - 5pm UK time.

Salary is 230PHP per hour.

You will receive 26 bonus days per year (allowance will be prorated depending upon your employment start date) which increases along side your service length, and we also pay 13th Month.
