Position summary and Key responsibilities

The purpose of this role is to make sure that all the products, materials, equipment and supplies they need to operate efficiently in ways that are aligned to established policies and standards. Also, oversee inventory management processes and resolve any issues that arise.

Logistics Management

Shipment Coordination: Plan, coordinate, and monitor incoming and outgoing shipments and deliveries, ensuring they are on schedule.

Route Optimization: Plan and optimize transportation routes to ensure timely deliveries and efficient use of resources.

Carrier Management & Negotiation: Liaise with carriers, freight forwarders, and suppliers to negotiate rates, manage contracts, and build effective relationships.

Tracking & Troubleshooting: Monitor the progress of shipments, provide stakeholders with timely updates, and resolve any delays, damage, or issues that arise during transportation.

Cost Control: Monitor and evaluate transportation costs to ensure budget compliance and identify opportunities to reduce expenses.


Inventory Control

Stock Level Management: Oversee warehouse stock levels, ensuring they align with company demand to prevent shortages or overstocking.

Physical Inventory & Audits: Conduct regular inventory checks, cycle counts, and physical audits to verify stock accuracy.

Discrepancy Resolution: Investigate and resolve discrepancies between physical stock and system records (ERP/WMS data).

Warehouse Organization: Coordinate inbound stock receipt, ensure the proper, safe storage of products, and manage warehouse activities.

Forecasting & Planning: Collaborate with sales, production, and purchasing teams to forecast inventory needs and plan replenishment orders.


Documentation and Compliance:

Record Keeping: Maintain accurate logs and records of all inventory movements, shipments, and orders.
Document Preparation: Prepare and maintain essential shipping documentation, including invoices, bills of lading, and customs declarations.
Regulatory Compliance: Ensure all processes adhere to relevant industry regulations, export/import laws, and safety standards.

Communication and Operations

Stakeholder Communication: Act as a central point of contact between suppliers, warehouses, internal departments (e.g., sales, production), and customers.

Customer Service: Address customer inquiries regarding shipment statuses, delivery times, and issues promptly and professionally.

Process Improvement: Analyze current supply chain and inventory procedures and recommend improvements to boost efficiency and organization.

All employees are responsible for:

Complying with all WHS management system policies, procedures and reasonable requests made by management in the interests of WHS;

Participating in any WHS training required by the WHS management system or when requested by Management to ensure a safe workplace;

Ensuring that any licenses or qualifications required to perform work in a safe manner are available or that Management are notified if these lapse;

Seeking advice when needed before starting any new or unfamiliar work;

Maintaining protective and safety equipment properly were provided to control risks in the workplace;

Using documented risk management process to manage WHS risks;

Conducting work in a manner that is healthy and safe and that does not affect the health and safety of any other person.


Knowledge/ Experience

 Proven work experience as an Inventory Coordinator or a similar role in the Retail industry

 Complete knowledge of inventory and supply chain processes

Qualifications

 Bachelor’s degree in Purchasing, Business Administration, Logistics, or a related field

Skills

  Customer service experience.

  Word processing, database and spreadsheet knowledge.

  Strong analytical and problem-solving skills

  Good time management and organizational skills

  Ability to offer excellent customer service
