JOB DESCRIPTION

Summary

The Litigation Paralegal supports the firm’s two full-time litigation attorneys with case coordination and preparation for matters proceeding in immigration court (EOIR) and federal district court across the United States. The Litigation Paralegal handles case management from intake through final filing and is responsible for the communications, deadline tracking, and administrative support needed to keep litigation and removal-defense matters moving efficiently.

Essential Duties and Responsibilities

Include the following; other duties may be assigned to meet business needs.

  • Prepare, format, and file pleadings, motions, briefs, and exhibits in federal district court via CM/ECF and in immigration court via the EOIR Courts & Appeals System (ECAS).
  • Draft correspondence to clients, opposing counsel, and government agencies (USCIS, ICE, DHS, DOJ/OIL) regarding case status, procedural requirements, and filing deadlines.
  • Support attorneys' preparation of federal litigation matters, including mandamus actions, Administrative Procedure Act (APA) challenges, and declaratory judgment actions.
  • Monitor and calendar all filing deadlines and hearing and trial dates in accordance with the Federal Rules of Civil Procedure, applicable Local Rules, and the EOIR Immigration Court Practice Manual.
  • Prepare, coordinate, and organize summonses, service of process, discovery materials, exhibits, hearing/trial binders, and other court filings; assist with hearing and trial preparation logistics.
  • Maintain organized case files (physical and electronic), including Bates-numbering and version control of documents.
  • Keep clients organized by establishing and organizing files, monitoring calendars, setting deadline reminders, documenting actions, and inputting information into case management and immigration tracking systems.
  • Communicate case status and trends to attorneys proactively and regularly; provide reminder reports to attorneys and paralegals for effective case management.
  • Track and manage case budgets, billing entries, and engagement-letter administration in coordination with the litigation team.
  • Accomplish firm goals by accepting ownership of new and different requests and exploring opportunities to add value to job accomplishments.
  • Upload, download, and share case documents within the firm's document management and immigration case-tracking systems.

Qualifications/Requirements

  • 3+ years of related litigation paralegal experience. Experience with immigration court (EOIR) proceedings and/or federal district court litigation is strongly preferred.
  • Working knowledge of the Federal Rules of Civil Procedure and EOIR practice and procedure.
  • Proficiency with CM/ECF, PACER, and EOIR's electronic filing system (ECAS).
  • Exceptional organizational and case-management skills, with the ability to manage multiple deadlines and competing priorities simultaneously. 
  • Exceptional ability to work independently, exercise sound judgment, and proactively identify and resolve procedural and administrative issues. 
  • Strong written and verbal communication, including the skills to interact with clients, courts, and opposing counsel.
  • Strong attention to detail and commitment to accuracy.
  • Ability to collaborate effectively with attorneys, paralegals, and administrative staff in a team-oriented environment. 
  • Ability to handle confidential information with discretion and maintain confidentiality.
  • High level of computer competency in Microsoft Office Suite, including, but not limited to, Outlook, Word, Excel, Teams, Planner, and case management/immigration document file systems.
  • Notary public certification a plus.
  • This position is open to remote or hybrid work out of our Philadelphia, New York, or DC offices. Flexible schedule: 9:30 AM–5:30 PM EST or 10:00 AM–6:00 PM EST, as scheduled.

Education/Training/Experience

  • A Bachelor's degree is preferred but not required.
  • Paralegal certificate from an ABA-approved program is a plus.
