We're looking for an organised, client-ready Admin & Operations Assistant to support a specialist compliance consulting firm in Australia.
The firm advises private education providers on regulatory compliance. It's a small, senior team, and the work is legal in nature: audits, regulatory obligations, policy and documentation. You don't need to be a lawyer, but you do need to be comfortable in that world.
You will manage the client agreements in a project management tool, sit in on the monthly client meetings, turn those meetings into clear minutes and task lists, and follow up on what is due. Some of those tasks sit with the firm and some sit with the client, and your role will be to keep track of both.
There is real room to grow here. The principal wants someone who starts in admin and develops into a more technical compliance role over time, so curiosity about the subject matter counts for as much as the admin skill.

Work Hours: Monday to Friday, 7am to 3.30pm PHT.
Set up and manage the client retainer agreements in a project management tool such as Trello or Asana.
Load each month's agreed tasks into the system with clear owners and due dates.
Follow up weekly on what is due across both the firm and its clients, so nothing needs chasing.
Attend the monthly client meetings alongside the principal, around 15 hours a month.
Polish the AI generated meeting minutes and circulate them to clients.
Turn meeting outcomes into the next month's task list and confirm nothing agreed was missed.
Provide general admin support across the compliance and audit workload.
Help build the firm's documentation and processes from scratch, since very little is written down today.
Take on more technical compliance tasks as your understanding of the sector grows.
Proficient in:
Microsoft Suite, particularly Outlook, Teams and OneDrive.
A project management tool such as Trello, Asana, ClickUp or Monday.
AI meeting note takers, and comfortable editing transcripts into clean minutes.
Strong written English at a standard that can go directly to clients.
Ideal but not essential:
AI tools such as Claude, ChatGPT or Perplexity.
Document management or matter management systems used in legal practice.
Experience building a project management system from scratch rather than inheriting one.
3+ years in an administrative, executive assistant or paralegal support role.
Paralegal experience or current law student. A qualification is not required.
Exposure to migration or visa work, or to the education and training sector, is an advantage.
Experience taking or polishing meeting minutes that go directly to clients.
Experience running a project management tool day to day, ideally one you set up yourself.
Confidence sitting in live client meetings with Australian professionals.
Excellent written English. This is the single most important skill in the role.
Is super proactive - you follow things through without being reminded.
Is comfortable working with almost nothing documented, and would rather write it down than ask twice.
Can be trusted in front of clients, in writing, and on video.
Is genuinely interested in the legal and compliance side, not just the admin work.
Speaks up early when something is going to be late or has been missed.
Wants to grow into more technical work over the next year or two.
