This role supports the scheduling and coordination of critical case events, ensuring legal deadlines are met and communications with clients are timely and professional. The ideal candidate will possess strong communication skills, a proactive approach, and proficiency in legal technology platforms. Key Responsibilities:
Coordinate the scheduling and rescheduling of depositions with attorneys, clients, witnesses, and court reporters.
Maintain detailed records of all scheduled depositions and promptly update the case calendar to reflect any changes.
Calendar Maintenance - Maintain and update the firm's case calendars with all depositions, court appearances, and key deadlines.
Client communication - Act as point of contact for client inquiries regarding scheduling. Notify clients of upcoming events, such as depositions and court dates, with professionalism and clarity.
Communicate effectively and professionally with attorneys, clients, court personnel, and external parties to coordinate schedules and resolve any conflicts or issues that may arise.
Demonstrates a willingness to take on new tasks with a general attitude that no task is too small, impossible or cannot be improved.
Qualifications:
Prior experience in a legal support or calendaring role preferred.
Strong organizational and time management skills
Excellent written and verbal communication.
Familiarity with legal case management software (SmartAdvocate experience a plus).
Ability to manage multiple deadlines in a fast-paced environment.
Bilingual, preferably Spanish, is a plus but is not required
