Essential Responsibilities and Duties
Evidence & Documentation Management
Collect and manage evidence and supporting documents from clients.
Maintain clear and timely communication with clients regarding case status and documentation needs.
Review and send document checklists to ensure completeness and compliance.
Packet Assembly
Assemble, organize, and prepare client packages in accordance with legal guidelines and internal protocols.
Case Management & Systems Use
Update and maintain case information and progress in internal systems such as Litify and Google Drive.
Collaborate closely with other legal assistants, attorneys, and support teams to ensure case flow efficiency.
Required Qualifications
Strong written and verbal communication skills in English
Excellent organizational skills and attention to detail.
Ability to manage multiple requests and deadlines simultaneously.
Proficiency with Microsoft Office and Google Workspace.
Strong ability to organize and manage documents and digital files.
Ability to communicate professionally and clearly with clients to request documentation and provide updates.
Preferred Qualifications
Basic understanding of legal document structure (training will be provided).
Interest in immigration law or legal services.
Proficiency with Adobe Acrobat
Background in back office operations, including data management, documentation handling, or process support.
Technical Requirements
Computer: Intel i5 (8th Gen+) or AMD Ryzen 5 (3000+), or Mac M1+. Min. 8 GB RAM, 256 GB SSD.
OS: Windows 11 or macOS.
Monitors: Two screens required.
Headset: USB wired or wireless
Internet: Wired connection, at least 20 Mbps.
Key Performance Indicators
Task Completion: 20% Weight
Definition: Task Completion measures the percentage of tasks completed by the legal assistants within a given period.
Target: >90%
Analysis: This KPI assesses legal assistants' ability to complete assigned tasks promptly.
Efficiency: 30% Weight
Definition: Efficiency measures the speed and effectiveness with which legal assistants complete their tasks.
Target: >85%of legal assistants in completing
Analysis: This KPI evaluates the efficiency of legal assistants in utilizing their available work hours to complete tasks.
Productivity: 20% Weight
Definition: Productivity measures the number of tasks completed by legal assistants in a given time period.
Target: >95%
Analysis: This KPI assesses the productivity of legal assistants in terms of the number of tasks they can complete within their working hours.
Task Aging Bucket: 30% Weight
Definition: Task Aging Bucket measures the percentage of tasks that fall within specific aging categories (e.g., 10 to 30 days).
Target: >90% Current Week
Analysis: This KPI tracks the aging of tasks assigned to legal assistants and ensures timely completion and efficient task management.
