Summary Description:

The HR Operations Assistant provides comprehensive administrative and operational support for the Human Resources department. This role is responsible for assisting with key HR programs, benefits, performance management processes, recruitment and onboarding logistics, and serving as the first point of contact for general HR inquiries.

This position plays a critical role in maintaining accurate records, supporting employee engagement initiatives, and ensuring that HR processes run efficiently and in compliance. The HR Operations Assistant works under the direction of the Associate HR Director and supports the execution of HR programs and operational workflows.

Duties/Job Responsibilities:

HR Operations Support:

  • Monitor and respond to employee inquiries in the HR Slack channel and the Lyrasis HR general email inbox (human.resources@Lyrasis.org), addressing routine inquiries and escalating complex matters as appropriate.

  • Prepare and distribute timecard approval reminders.

  • Assist in updating the HR SharePoint Site.

  • Maintain accurate HR records in compliance with federal, state, and company requirements.

  • Assist in internal audits of employee files and documentation, as needed.

  • Actively assist in maintaining the HRIS database and personnel files to ensure records are accurate, including employee contact information, job classification, organizational structure, and other key details.

  • Assist with the Education Assistance Program, including processing requests, tracking eligibility, and coordinating required documentation.

  • Maintain and update the organization's official org chart, ensuring accuracy of reporting structures and timely reflection of staffing changes.

  • Collect and confirm All Staff Meeting presentation requests and send out semi-monthly agenda to all staff.

Benefits Administration Support:

  • Issue new hire benefits enrollment emails and 403(b) consultation notifications in accordance with onboarding timelines.

  • Assist with benefit documentation and processing employee benefit enrollments, changes, and terminations.

  • Track benefit enrollment timelines and required documentation.

  • Assist in preparing materials and communication for open enrollment.

  • Submits new and updated employee information and status changes to insurance carriers and vendors.

  • Complete monthly fringe benefit reconciliation, identifying discrepancies between payroll and carrier invoices and reporting findings to the Associate HR Director.

Talent Acquisition & Recruitment Operation Support:

  • Post open positions internally and externally according to established recruitment procedures, as necessary.

  • Manage candidate communications, including initial outreach, follow-up emails, interview scheduling for both first and final interviews, and correspondence with candidates who are not selected.

  • Collaborate with hiring managers to compile draft interview questions for both the first and final round candidate interviews.

  • Track and maintain records of employee referrals associated with active job openings.

  • Assist in the background check and reference verification process.

  • Distribute the new hire onboarding template to hiring managers for timely completion prior to the employee's start date.

  • Distribute the 90-day new employee engagement survey.

  • Initiate new employee DISC assessment distribution with the vendor.

  • Send new hire announcements to the ORCID team.

Performance Management Support:

  • Generate and monitor reports related to performance management requirements, including:

    • Missing DEIA goals

    • Missing annual goals

    • Outstanding sign-offs (Annual Reviews and Mid-Year Check-Ins)

    • Conduct timely follow-up with employees and managers to support completion of performance management requirements

  • Support administration of the probationary review process by:

    • Setting up probationary review cycles in Share & Perform

    • Sending initial process communications to employees and managers

    • Tracking progress and sending follow-up communications (e.g., 60-day check-ins)

Employee Engagement & Recognition:

  • Coordinate and distribute weekly "Shout-Out Friday" employee recognition communications, including collecting submissions and preparing content.

  • Announce monthly employee birthdays and anniversaries during all staff meetings.

  • Help coordinate internal events, HR initiatives, and DEIA strategies to create an engaging and inclusive environment for everyone.

Required Skills and Qualifications:

  • High school diploma or equivalent required

  • 1-3 years of administrative, customer service, or HR support experience required

  • Excellent organizational skills and attention to detail

  • Strong time management skills

  • Strong analytical and problem-solving abilities

  • Excellent written and verbal communication skills

  • Ability to prioritize multiple responsibilities in a deadline-driven environment

  • Ability to adapt to the needs of the organization and employees

  • Proficiency in Microsoft Office Suite and Google Suite

  • Team-oriented with a proven record of professionalism and a service-focused attitude

  • Ability to handle sensitive information with professionalism and confidentiality

  • Proficiency with technology and the ability to learn new software quickly

  • Proficient understanding of Diversity, Equity, Inclusion, and Accessibility principles

Strongly Preferred:

  • Interest in pursuing a career in Human Resources

Additional Information:

Internal/External Communications: The personnel role is highly sensitive and involves handling confidential information. Builds relationships and interacts directly with individuals both inside and outside the organization.

Growth & Development: This role may be exposed to payroll operations, advanced benefit administration, compliance processes, and broader HR Operational functions. Expanded responsibilities may be assigned based on demonstrated proficiency and organizational needs.

Supervisory Responsibilities:

  • None

Physical Demands:

  • This position is fully remote and requires sedentary work that primarily involves sitting/standing. Incumbent must be able to meet and communicate regularly via Zoom, Microsoft Teams, and/or other teleconferencing means.

  • While this position is 100% remote, it requires occasional travel to Lyrasis company events and in-person professional development, meetings and/or conferences.
