The DCX Client Services Home-Based Property Administrator will work as a full-time employee. You will assist the Property Management and Accounting Department in the day-to-day administrative functions of the property management office. Positive demeanor and attitude are paramount as this customer-service based desk-position must project and maintain a professional image through all in-person, telephone, and electronic interactions.

 

Ideal Candidates will be 

  • Highly proficient communicator in both spoken and written English 

  • Excellent ability to organize and coordinate tasks 

  • Attention to detail and accuracy 

  • Above average typing and data entry skills 

  • Comfortable working independently with little direction under tight deadlines

  • Work Shift: 8:00 AM - 5:00 PM CST (USA) 

  • Workdays: Monday through Friday (USA) 

  • Written and spoken English skill: Very Proficient 

  • Salary Range: 47,000

Job Responsibilities 

  • Greet guests, customers and clients to the management office; answer telephones and respond to routine inquiries.

  • Promote a high level of satisfaction among tenants by promptly responding to service requests or maintenance work-order concerns. Participate in their resolution by clarifying issues, escalating the matter to the appropriate Staff Member, taking corrective action as directed, and providing timely follow-up.

  • Perform general clerical duties to include but not limited to: photocopying, scanning, filing, typing, data entry, and overnight delivery services.

  • Maintain both written and electronic record- keeping and filing systems — especially lease files, vendor/contract files, and tenant or vendor billings.

  • Process incoming mail and outgoing mail daily.

  • Maintain current Certificates of Insurance for all tenants, vendors, and contractors.

  • Maintain current vendor and tenant contact lists.

  • Coordinate refreshments for meetings; maintain the conference room, storage and filing areas, and assist in keeping the kitchen in tidy condition. Assist with maintaining office supply inventory.

  • Coordinate and maintain calendar for lobby vendors and Building Conference Center if applicable.

  • Support Property Manager or Accountant and assist with special projects under their supervision as necessary and assigned.

Additional Job Requirements 

  • Education: High School diploma or GED equivalent is required. Some College studies or degree preferred.

  • Experience: 1-3 years of Property Administration or in another relevant administrative role. 

  • Strong written and communication skills with clients and customers. Bilingual ability is a plus

  • Thorough understanding of office management systems and procedures. 

Technical Skills:

  • Strong computer and internet skills, including proficiency in Word, Excel, and Outlook. 

  • Exceptional knowledge of office computer systems and software. 

  • Familiar with Accounting software, preferably Yardi Voyager
