Remote Group Enrollment Specialist

Description

The Group Enrollment Specialist will support Sentara’s Enrollment Department, which is responsible for member eligibility and enrollment for group customers. This team ensures member information is accurately loaded, updated, and maintained across Sentara’s enrollment and pharmacy systems so there are no downstream impacts to member coverage, claims, pharmacy access, or coordination of care.

This role will support enrollment activity for both small and large group customers. Small group includes approximately 5,000 groups, while large group includes approximately 120 groups. The Specialist will process a high volume of enrollment-related work, including manual applications and 834 electronic enrollment files, which are files received from various employer groups to upload and maintain group membership information. The role is responsible for identifying and resolving errors, validating information, and ensuring the system accurately reflects what the group is requesting.

On the first day, the new hire will complete departmental orientation. The Team Coordinator will review expectations for the employee, departmental policies, workflows, and overall team processes. Training will last approximately 1-2 weeks, during which the employee will learn the basic functions of the job and receive hands-on training.

After the initial training period, the new hire will be partnered with a seasoned Enrollment Specialist. The experienced Enrollment Specialist will observe their work, provide coaching and feedback, and help determine when the employee is ready to work more independently. Feedback from the seasoned Enrollment Specialist will help the team determine when the new hire is ready to be released to manage work on their own.

Once trained, day-to-day responsibilities will include working through emails in Outlook, responding to group inquiries, researching requests, processing enrollment updates, correcting errors, and making sure Sentara’s system matches what the group is requesting. For example, a group may send an email stating that a member’s date of birth is incorrect. The Group Enrollment Specialist would research the request, update the DOB in the appropriate system, and respond back to the sender professionally once completed.

Sentara uses a shared enrollment email mailbox that multiple team members work from throughout the day. Emails are categorized so the team can assign and track work across individuals. The Group Enrollment Specialist will be responsible for managing assigned emails, completing the necessary research, processing the appropriate updates, and responding to the sender with clear and professional communication.

Productivity expectations are reviewed based on individuals performing the same or similar functions. While there is not currently a formal productivity metric, the team does review productivity and overall output. The most critical performance metric is quality. Currently, employees are audited monthly on 40 transactions, with a quality expectation of 99%.

Beginning 10/1, the quality structure will change due to the implementation of a new database and will move to a rolling quality model:

First 60 days: 93% quality expectation

Days 61–90: 94% quality expectation

After 90 days: 95% or higher quality expectation

Accuracy is extremely important in this role because enrollment errors can directly impact a member’s eligibility, pharmacy access, claims processing, and coordination of care.

Pay and Benefits

The pay range for this position is $20.00 - $21.00/hr.
