Job Summary
RCM Staff BPO is hiring a full-time Front Office and Patient Coordinator to support a rheumatology practice based in Texas.
The coordinator is the first point of contact for new patients. They verify benefits, confirm the practice accepts the patient's insurance, secure referrals and records, and book the visit in the practice's EHR. They also work alongside the in-office front desk through Microsoft Teams, taking transferred calls and helping with overflow calls during the day. This role requires a confident phone presence with U.S. patients and experience with front office work for a U.S. practice, such as strong attention to detail, consistent follow-up, and experience working with U.S. health insurance plans.
Key Responsibilities
* Verify eligibility and benefits for new and scheduled patients, including specialist copays, deductibles, and coinsurance
* Confirm that each patient's insurance plan is accepted by the practice before scheduling
* Determine referral requirements and obtain or confirm referrals for plans that require one, such as HMO, EPO, and Medicaid managed care plans
* Request and collect chart notes, lab results, and imaging from referring providers before the first visit
* Schedule new patients into the practice's designated new patient slots
* Answer overflow calls and accept transferred calls from the front desk in a professional, patient-friendly manner
* Stay connected with the front desk through Microsoft Teams to relay messages, hand off calls, and flag urgent items
* Document verification results, referral status, and call notes accurately in the EHR
* Follow up on missing referrals or records so appointments are not delayed or rescheduled
* Protect patient information and follow HIPAA requirements
Qualifications
* At least 2 years of experience with U.S. healthcare insurance
* Experience with eligibility and benefits verification, patient scheduling, or front office work for a U.S. practice
* Experience handling inbound calls with U.S. patients
* Understanding of referral requirements for HMO and other managed care plans
* Familiarity with commercial insurance and government health plans
* Experience using payer portals and insurance websites
* Strong written and spoken English, with clear and professional phone communication
* Excellent attention to detail and follow-up skills
* Ability to work independently and manage multiple patient accounts
* Reliable internet connection and a suitable remote workspace
Preferred Qualifications
* Experience supporting rheumatology or other specialty practices
* Experience using athenaOne (athenahealth)
* Familiarity with Texas insurance plans, including Medicare Advantage and Texas Medicaid managed care
* Experience collecting records and referrals from referring provider offices
* Experience working with softphones and Microsoft Teams
Schedule
* Full-time position
* Must be available from 8:00 AM to 4:00 PM Central Time
* Final schedule will be determined based on practice needs
