Overview

Responsible for coordinating the proactive and reactive maintenance platform, schedules, quotes and minor projects of four hundred (400) plus multi-state locations, to include managing contractors and working successfully with third party vendors.

Responsibilities

Facilitates work through the CCMS (computerized maintenance management system) to include all work orders and quotes in an efficient and timely manner.

· Reviews lease documents to determine responsible parties prior to assigning work through the CCMS system.

· Plans and schedules facility repairs and modifications, to include cost estimate reviews and coordinates approvals and ensures completion.

· Oversees preventive maintenance of facility equipment specifically HVAC systems.

· Ensures all utility systems are inspected in accordance with regulations such as backflow devices.

· Reviews weekly reports from various third-party vendors to ensure work is satisfactory and closed out in the CMMS system in a timely manner. Generates internal CCMS reports as needed.

· Provides project support related to property damage, weather emergencies, specialty cleaning and other critical maintenance issues.

· Generates project and other reports.

· Other Duties as assigned.

Work Environment:

This job operates in a remote office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

This work is a high paced, reactive environment, which requires consistent and timely response to work order requests and follow up communications to ensure timely issue resolution and close out.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

This is a full-time position. Standard days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. However, the position requires strong time management skills and ability to respond to emergency and after-hours support.

· CMMS, Leasing Portal, and other Software Systems – Experience in using computerized Real Estate and Maintenance Management Systems.

· Building Systems Knowledge – Familiar with various building systems to appropriately validate scope of work, and direct vendors accordingly and obtain approval from the appropriate level of management.

· Project Oversight – Able to oversee projects through completion.

· Multi-Tasking – Must be able to work in a fast paced environment and able to multitask while setting priorities.

 

Qualifications

Associates Degree or equivalent technical experience preferred.

Qualifications/Training:

· Facilities management or multi-facility maintenance experience preferred.

· Dental Facilities Maintenance experience preferred but not required.

· Minimum of (5) years of progressive experience and responsibility in a maintenance field were holding a position overseeing multiple sites and service providers.

· Experience in working successfully in a fast-paced environment.

· Strong proficiency in MS Office.

· Proven time-management skills.

· Strong verbal and written communications skills.
