Role
We are looking for a highly organized, proactive, and dependable Executive Assistant to provide administrative and scheduling support to senior leadership. The ideal candidate will have excellent communication skills, strong ownership, attention to detail, and the ability to effectively manage multiple priorities in a fast-paced environment.
The Executive Assistant will primarily support senior leaders with meeting coordination, calendar management, scheduling, and day-to-day administrative activities, ensuring their schedules and commitments are managed efficiently.

Responsibilities
  • Manage and coordinate calendars and meetings for senior leadership.
  • Schedule, reschedule, and coordinate meetings across multiple stakeholders and time zones.
  • Ensure calendars are organized, up to date, and aligned with leadership priorities.
  • Coordinate meeting invites, agendas, and relevant information as required.
  • Follow up on scheduling requirements and ensure timely responses and confirmations.
  • Manage multiple priorities and competing requests while maintaining accuracy and attention to detail.
  • Act as a reliable point of coordination between senior leadership and internal/external stakeholders.
  • Handle confidential information and communications with discretion and professionalism.
  • Anticipate scheduling needs, identify potential conflicts, and proactively resolve issues.
  • Provide general administrative support to senior leadership as required.
  • Maintain a high level of responsiveness and ownership, particularly during working hours.
  • Support leadership in ensuring meetings and commitments are effectively coordinated and managed.

Requirements
  • 2–4 years of experience as an Executive Assistant, Personal Assistant, Administrative Assistant, or in a similar coordination role.
  • Strong calendar and meeting management experience.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills.
  • High level of ownership, accountability, and attention to detail.
  • Ability to manage multiple schedules, priorities, and stakeholders simultaneously.
  • Proactive approach with the ability to anticipate requirements and resolve scheduling conflicts independently.
  • Strong proficiency with Microsoft Outlook, Teams, Google Calendar, or similar productivity and collaboration tools.
  • Ability to handle confidential and sensitive information professionally.
  • Comfortable working independently in a remote environment.
  • Willingness and availability to work the 6:00 PM – 3:00 AM PKT night shift.
  • Professional, adaptable, and confident when communicating with senior leadership and stakeholders.

Nice to Have
  • Previous experience directly supporting C-suite executives, senior leadership, or international stakeholders.
  • Experience coordinating meetings across multiple time zones.
  • Experience in a technology, consulting, or corporate environment.
  • Familiarity with project management and collaboration tools.
  • Experience handling travel coordination, expense management, or other executive administrative responsibilities.
