Purpose of the role

Cleantech Group is seeking an Events and Programs Coordinator to join our team. This role is well suited to a self-starter with a genuine passion for sustainable innovation and for organizing impactful, enjoyable, and smoothly-run events and engagement programs that bring together deal-makers to seed future transactions in support of the net zero goal.

This position is open to candidates at entry level or with a few years of relevant experience.

The successful candidate will coordinate and collaborate with our wider team to deliver Cleantech Group's two upcoming Forums – Cleantech Forum Europe (in November) and Cleantech Forum North America (in January). Initial tasks will focus on final stage logistics for Cleantech Forum Europe – networking app and agenda management, participant communications, vendor and venue coordination – while also supporting on-going planning for Cleantech Forum North America. You'll work closely with colleagues across research, marketing and business development to make sure each Forum reflects Cleantech Group's standards for quality, relevance and the kind of high-value connections our community has come to expect.

The role will also support delivery of our upcoming award programs — LATAM Cleantech 25, Cleantech 50 to Watch, and the Global Cleantech 100 — which are closely interconnected with our events, where we spotlight the report and celebrate the participating winners. Responsibilities include collecting winner logos, preparing and sending communications to winners and supporting the editing process for the individual reports.

Responsibilities

  • Ensure that the production of international events and related award programs run smoothly and professionally — both internally and externally — in line with company goals, capabilities, and budgets.
  • Support the running of events from inception through de-brief, including but not limited to:
    • Registration management
    • Webpage content creation and updates
    • Maintenance and management of the event networking app
    • Support of on-site production
    • Coordination with the Research team on speaker acquisition and management
    • Coordination with relevant stakeholders, including sponsors and partners
    • Support for venue and vendor management

Requirements (you don’t need all of these to apply)

  • Organized and fast working, with strong attention to detail and a willingness to go the extra mile to deliver great experiences for our clients
  • Interest in innovation, climate change, and clean technology/sustainability
  • An excellent collaborator who works well within a team, while also being self-sufficient and proactive in problem-solving and getting things done
  • High proficiency with standard business software, including Microsoft Office 365 and Microsoft Teams, as well as web content management systems (e.g., WordPress)
  • Willingness and ability to undertake some domestic and international travel
  • Fluent English required
Preferred Qualifications
  • Prior experience supporting the delivery of in-person and/or virtual events
  • Familiarity with registration systems (e.g., Cvent, Swoogo), CRMs (e.g., Salesforce), and related tools (e.g., Canva, Zoom)
  • Comfort with a broad range of digital skills and systems, such as social media and video editing
