The University of Miami, Division of Enrollment Management, has an exciting opportunity for a full time Enrollment Support Specialist 1 to work remote

Pay: 17.15 USD Hourly


Under the supervision of the Sr. Associate Director and Manager of Enrollment Operations, the Enrollment Support Specialist is responsible for delivering a high-quality customer service experience to potential applicants, current applicants, and newly admitted students and their families. In addition, this person will be responsible for reviewing, sorting, classifying, maintaining, and archiving documents, data, test scores, and other sensitive information related to a student’s official enrollment records using the University’s student information systems, including Slate, PeopleSoft/CaneLink, PowerFAIDS, College Board, and OnBase.
 

Department specific functions:

  • Serves as the primary contact via phone and email for admission and financial aid inquiries related to applications and records from prospective students and their families, ensuring accurate, timely and coordinated support across University departments, with at least 50% of assigned responsibilities focused on high volume communication.
  • Manages incoming documents for all undergraduate students checking for accuracy and ensuring documents are appropriately assigned to the student record. Ensure checklist items are updated accordingly.
  • Ensures that student records are kept secure and confidential and are accurately recorded in the University’s student information system(s).
  • Understands and communicates important concepts related to records management and utilizes a practical approach for ensuring that student records are accurately maintained.
  • Regularly reviews and manages mismatched records in Slate, manages test scores, and processes change requests from EM functional personnel.
  • Supports workflow management across enrollment processes, which may include assisting with final high school transcript review, coordinating document collection for application reading, and facilitating materials needed for I-20 processing.
  • Performs ongoing record maintenance within Slate, which may include consolidating duplicate applicant and inquiry records and processing inbound files from external agencies (e.g., SAT, ACT, Scribbles).
  • Maintains data integrity within CaneLink by supporting daily data processing activities, which may include staging table review, troubleshooting data load errors, executing search/match procedures to prevent duplicate record creation, and reviewing and resolving test score discrepancies in coordination with Slate.
  • Other duties as assigned.

Core Qualifications:

  • High School Diploma required. Post-secondary education preferred.
  • No previous experience required. Experience managing records or in customer service, preferably in a higher education or corporate setting preferred.
  • Learning Agility: Ability to learn new procedures, technologies, and protocols, and adapt to changing priorities and work demands.
  • Teamwork: Ability to work collaboratively with others and contribute to a team environment.
  • Technical Proficiency: Skilled in using office software, technology, and relevant computer applications.
  • Knowledge of records management concepts is important for this position.
  • Strong attention to detail and ability to manage multiple projects and tasks simultaneously is required.
  • Excellent oral and written communication skills and ability to provide excellent customer service to students, parents, and administrators.
