WHAT YOU’LL DO

The Editorial Manager-PT (28 hours per week) provides administrative and editorial support for the American Journal of Kidney Diseases (AJKD), NKF’s premier peer-reviewed journal focused on nephrology and kidney health. Reporting to the Managing Editor, this fully remote, part-time position plays a critical role in supporting manuscript submissions, coordinating the peer review process, and ensuring efficient editorial office operations.

The ideal candidate is highly organized, detail-oriented, and able to communicate professionally with authors, reviewers, editors, and other stakeholders in a fast-paced academic publishing environment.
 
 Responsibilities include, but are not limited to:

  • Conduct initial quality checks for newly submitted manuscripts to ensure compliance with journal requirements and submission standards. 
  • Communicate with authors to resolve submission issues and ensure manuscripts are ready for editorial review. 
  • Review submissions for potential editor or reviewer conflicts prior to assignment. 
  • Support and monitor the peer review process by inviting reviewers, tracking responses, sending reminders, and coordinating extensions as needed. 
  • Notify editors when additional reviewers may be required to maintain timely peer review workflows. 
  • Manage “Full Conflict” submissions by coordinating the Acting Editor-in-Chief process for manuscripts submitted by AJKD editors or editorial board members. 
  • Maintain professional and timely communication with authors, reviewers, editors, and publishing partners. 
  • Assist with invoicing authors for publication charges, tracking payments, and coordinating records with finance/accounts receivable staff. 
  • Identify opportunities to improve editorial templates, workflows, and operational processes to enhance efficiency and clarity. 
  • Train and provide backup support guidance to other editorial assistants as needed to ensure continuity of operations.

WHAT YOU’LL POSSESS

  • Bachelor’s degree required, preferably in biomedical sciences, English, communications, marketing, or a related field. 
  • Minimum of 2–3 years of editorial office or scholarly publishing experience preferred. 
  • Familiarity with peer review processes, academic publishing platforms (such as Editorial Manager. 
  • Excellent written, verbal, and interpersonal communication skills. 
  • Strong organizational skills with the ability to manage multiple priorities and deadlines. 
  • High attention to detail and commitment to accuracy. 
  • Ability to work independently with minimal supervision once trained. 
  • Demonstrated professionalism and discretion in handling confidential information. 
  • Strong computer proficiency, including Microsoft Office Suite, and online manuscript management systems. 
  • Comfortable working in a fully remote environment with daily communication conducted primarily through email and online platforms.
