Dispatcher

Job Summary

Responsible for coordinating and scheduling personnel, vehicles, and equipment to ensure timely and efficient operations. This role monitors incoming requests, assigns tasks to field staff, tracks progress, and communicates updates to both customers and internal teams. Dispatchers play a critical role in maintaining operational efficiency, responding to issues in real time, and ensuring safety and compliance with company procedures.

Job Description

Scheduling & Coordination

• Receives service requests and schedule field staff accordingly
• Scheduling inspections with Install Companies
• Assign routes and adjust schedules based on priority and availability
• Monitor vehicle locations and service progress in real time
• Review jobs from previous day and reschedule jobs that are not completed or require a go back

Communication

• Maintain constant communication with field staff via phone or Service Titan
• Provide updates, directions, and support as needed
• Relay customer concerns or service changes promptly

Record Keeping

• Maintain accurate logs of calls, routes, and service details
• Prepare daily activity reports and update dispatch systems
• Ensure documentation complies with company policies and regulations

Problem Solving

• Respond quickly to emergencies, delays, or service disruptions
• Re-route drivers when necessary to maintain efficiency
• Resolve scheduling conflicts and customer complaints professionally

Customer Service

• Answer incoming calls and provide accurate information
• Confirm service appointments and delivery times
• Maintain a professional and courteous demeanor at all times

Required/Preferred Qualifications

• High school diploma or equivalent (Associate’s degree preferred)
• 4+ years of experience in dispatching, logistics, transportation, or customer service
• Proficiency with Service Titan, GPS systems, and Microsoft Office
• Strong organizational and multitasking abilities
• Excellent verbal and written communication skills

Preferred Skills

• Knowledge of local geography and traffic patterns
• Ability to work under pressure in fast-paced environments
• Basic understanding of DOT or industry regulations
• Strong attention to detail and time management skills
