The Contracts Supervisor manages administrative support functions including processing purchase orders, reviewing invoices, and tracking equipment deliveries. They also maintain data accuracy within systems and coordinate facility repair needs with maintenance teams and project managers.
Assesses emails, photographs, and construction documents to identify equipment or parts that need to be ordered
Reviews quotes, purchase orders, and warehouse shipping logs, across multiple systems
Prepares purchase orders and reviews invoices
Tracks and communicates deliveries
Develops and maintains reports used for various departments using collected data. This will be done within the systems as well as manual data entry as needed
Communicates with store and Field Operations Team, Territory Service Managers, Service Technicians, Project Managers, and third part service providers
Works closely with Florida Division Facilities Specialist to maintain Nuvolo data accuracy
Assists in identifying facility repair needs and coordinates with respective maintenance team and Facilities Director
Monitors project and program expenditures
Works closely with Enterprise Accounting, Fixed Assets and Division Finance Teams
All other job duties as necessary
