As a Client Coordination Specialist, you will assist travelers with the many details involved in preparing for a vacation. You will gather client information, research appropriate options, help coordinate selected arrangements, and maintain communication as travel plans progress.
This opportunity is suitable for individuals from a variety of professional backgrounds. Previous travel experience is not required. New team members receive structured training, access to supplier resources, and continued guidance while learning the systems and processes used in the role.
What You'll Be Responsible For
- Receive client inquiries and gather the information needed to begin the vacation-planning process
- Identify travel dates, destination preferences, budgets, interests, accommodation needs, and other trip priorities
- Research hotels, resorts, cruises, transportation, tours, excursions, activities, and vacation packages
- Compare available services and narrow down choices based on individual client requirements
- Organize researched information so travelers can easily review their available options
- Assist with coordinating selected accommodations, transportation, activities, and additional vacation services
- Use authorized supplier resources and reservation platforms to support travel arrangements
- Keep track of multiple trip components, important dates, and outstanding planning items
- Prepare reservation summaries, confirmations, schedules, itinerary information, and applicable documentation
- Follow up with clients when additional information, selections, or actions are required
- Provide timely updates as arrangements are confirmed or changed
- Assist with routine schedule revisions, reservation modifications, cancellations, and special requests
- Review traveler names, dates, reservation details, and documentation to help identify inconsistencies
- Maintain accurate client profiles, trip information, notes, and communication records within company systems
- Stay informed about available travel products, destinations, and supplier offerings through continued education
