We are a growing e-commerce business specializing in hangers and retail display solutions. We are seeking a detail-oriented and reliable Bookkeeper / Accounting Virtual Assistant to support the day-to-day financial operations of our business.

The ideal candidate will have strong QuickBooks experience, excellent attention to detail, and the ability to maintain accurate financial records while independently managing ongoing accounting and bookkeeping functions.

Key Responsibilities

Bookkeeping & Accounting

  • System Management: Manage and maintain accurate financial records within QuickBooks.

  • Transaction Recording: Record daily financial transactions accurately and in a timely manner.

  • Reconciliations: Reconcile bank and credit card accounts regularly.

  • Ledger Management: Process and track accounts payable (AP) and accounts receivable (AR).

  • Invoicing: Generate, send, and monitor invoices, tracking outstanding balances and following up on payments.

  • Reporting: Prepare financial reports and summaries for management review; assist with month-end and year-end close processes.

  • E-commerce & Inventory: Assist with financial tracking related to inventory and product-based operations; support the reconciliation of e-commerce sales and payment transactions.

  • Discrepancy Resolution: Actively identify, investigate, and resolve financial discrepancies or unusual transactions.

  • Documentation: Maintain highly organized digital financial records and compliance documentation.

Administrative Support

  • Maintain accurate spreadsheets and financial tracking tools.

  • Assist with data entry and financial record management.

  • Support ad hoc accounting and administrative projects as required.

Role Requirements

  • Experience: 3+ years of hands-on bookkeeping experience (owning the books, not just data entry).

  • Software: Strong, proven proficiency in QuickBooks (required) and strong Excel/Google Sheets skills.

  • Core Skills: Comprehensive experience managing day-to-day accounting functions, including bank/credit card reconciliations, AP/AR, and payment tracking.

  • Attention to Detail: Exceptional precision and accuracy when working with numbers.

  • Autonomy: Strong organizational and time management skills with the ability to work independently with minimal supervision.

  • Communication: Clear, professional written and verbal communication skills.

Nice to Have

  • Experience supporting an e-commerce business (specifically working with Shopify financial reporting).

  • Experience reconciling digital payment processors (Shopify Payments, PayPal, Stripe).

  • Familiarity with inventory-based financial reporting and COGS.

  • Experience working remotely with U.S.-based companies.
