The Bid Coordinator manages the end-to-end bid process, including solicitation, contract maintenance, and pricing accuracy. They also provide support to customers and manufacturers while coordinating with internal purchasing and supply chain teams.
The Bid Coordinator is responsible for coordinating bids and maintaining contracts with various agencies, schools, and military. Researching products, negotiating, and soliciting fixed bid pricing, capturing, and maintaining bid contracts. Manage awarded bids and communicate with procurement for on time performance and guarantee timely distribution at correct bid.
Essential Duties and Responsibilities
Bid and Contract Administration
• Coordinate bid process from solicitation through implementation.
• Maintain bid files, contract records, pricing documentation, and databases.
• Track renewals, amendments, and customer requirements.
Pricing and Reporting
• Maintain pricing templates and contract pricing records.
• Prepare recurring reports and spreadsheets supporting bid activity.
• Verify pricing accuracy within systems.
Customer and Vendor Support
• Respond to customer and manufacturer inquiries.
• Assist with issue resolution regarding pricing and contract administration.
• Support vendor sample billing and related activities.
Cross Functional Coordination
• Partner with purchasing and supply chain teams to support awarded business.
• Provide backup support for National Accounts and related functions.
Education Requirements
Required: High School Diploma or GED.
Preferred: Associate Degree in Business Administration, Supply Chain, Finance, Marketing, or related field.
Equivalent experience may be substituted.

Travel Requirement
Minimal travel required. Estimated travel up to 5% for meetings, training, or business support activities.
This position is fully remote; however, applicants must be based in the United States and authorized to work in the U.S. without current or future employer sponsorship.
