About This Role

The Associate Knowledge Manager plays a crucial role in Macrae’s global knowledge management task force, supporting recruiting teams in driving revenue and delivering exceptional service to clients and candidates.

The primary responsibility of this role is to ensure that the company’s collective intelligence is accurately and promptly entered into the database, making it accessible to recruiting teams worldwide. This role may also be assigned to provide temporary short- to medium-term support to knowledge management teams globally. Responsibilities may include uploading and drafting emails and documents, contributing to projects through data entry, and conducting research using both internal databases and external resources.

A key aspect of this role involves coordinating with remote colleagues to provide global support to recruiters, staff, and management by maintaining up-to-date system data, thereby enhancing decision-making and operational efficiency.

Primary Responsibilities

Recruiter & Team Support

  • Collect information from Recruiters, Knowledge Managers, and Strategic Researchers via call notes, meeting notes, and emails for data entry.
  • Work with the Knowledge Management team to ensure Recruiters and Managers receive high-quality administrative support.
  • Assist with research requests under the guidance of a Knowledge Manager, Strategic Researcher, or Recruiter.
  • Provide support in scheduling client, recruiter, and candidate meetings, interviews, and video conferences as needed.

Market Intelligence & Data Management

  • Transfer data from external documents into internal databases.
  • Verify source documents and data for accuracy, and flag inconsistencies where necessary.
  • Proactively maintain the integrity and quality of the database.
  • Store completed documents in designated locations.
  • Respond to requests for information and retrieve relevant data as needed.
  • Comply with company data integrity and security policies.
  • Identify, capture, record, and circulate information as required.

Note: The title “Associate Knowledge Manager” does not imply people management responsibilities. Instead, it reflects the critical role of overseeing and organizing key information essential to the firm’s success.

Requirements

Preferred Qualifications

Work Experience

  • A minimum of 4+ years of professional experience in a support role within law firms, legal or executive search, professional services industries, and/or supporting C-level executives is preferred.

Education

  • Bachelor’s Degree or equivalent is preferred.

Skills and Attributes

  • Strong attention to detail and excellent written and oral communication skills are essential.
  • Proficiency in Microsoft Office 365 applications (Outlook, Word, and Excel), with the ability to quickly learn new databases.
  • Ability to thrive in a high-volume, fast-paced environment while managing multiple priorities and competing deadlines.
  • Highly intuitive, proactive, responsive, flexible, adaptable, and solutions-oriented.
  • Strong commitment to delivering exceptional, client-focused service, ensuring a seamless and attentive experience for both internal colleagues and external candidates and clients.

Additional Information

  • This is a fully remote position.
  • The ability to reasonably accommodate meetings across all four of Macrae’s primary time zones and actively participate in team meetings is required.
