About the Role

SmartScale360 is looking for an Assistant Property Manager / Executive Assistant to support our U.S.-based property operations. You’ll oversee daily property management tasks and provide executive-level support to ensure smooth operations and high-quality guest experiences.

This role is ideal for candidates with short-term rental or property management experience who are proactive and thrive in a fast-paced environment.


Key Responsibilities

  • Manage, train, and oversee a team of virtual assistants
  • Assign tasks and ensure accountability across all operational areas
  • Monitor performance and provide feedback to maintain high standards
  • Ensure systems and SOPs are followed consistently
  • Oversee all guest communication across platforms (Airbnb, VRBO, direct bookings)
  • Ensure responses are timely, professional, and aligned with brand standards
  • Personally handle escalated guest issues via phone, email, or messaging
  • Proactively identify and resolve service gaps
  • Ensure all guest-related operational tasks are completed, including:
    • Pool heating requests
    • Guest requests and special accommodations
    • Vendor coordination (via team) - cleaning & maintenance
  • Oversee supply inventory and coordinate ordering as needed
  • Ensure listings are accurate and updated across all platforms
  • Submit quarterly TOT (Transient Occupancy Tax) filings for clients
  • Process guest refunds accurately and promptly
  • Submit and track damage claims with insurance providers
  • Assist with light bookkeeping and financial tracking
  • Maintain and improve operational workflows and SOPs
  • Ensure consistent execution across all properties and team members
  • Identify inefficiencies and recommend improvements
  • Uphold the company’s reputation for high-quality service

Required Qualifications

  • 1+ year of property management or short-term rental experience
  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication
  • Proven ability to manage and lead remote teams
  • Customer service mindset with problem-solving ability
  • Ability to multitask and prioritize in a fast-paced environment
  • High level of accountability and ownership
