About the Role
The Training Program Manager oversees the end-to-end lifecycle of customer training programs, from initial inquiry through program delivery and invoicing. This role blends customer engagement, program design, team leadership, and operational management to ensure high-quality training experiences and strong business performance. The position requires cross-functional coordination, attention to detail, and the ability to manage both strategic initiatives and day-to-day operations.
What You’ll Do
Program Management
- Serve as the primary point of contact for customers seeking training solutions
- Consult with clients to identify training needs and recommend appropriate programs
- Develop customized training programs when standard offerings do not meet client requirements
- Manage the full lifecycle of training engagements, including proposals, scheduling, delivery coordination, and invoicing
- Prepare and respond to proposals and RFPs
- Manage open enrollment training programs, including contract development and site logistics
- Manage self-certification and recertification programs, including eligibility verification, content coordination, and completion tracking
- Ensure successful execution of training programs and continuous improvement based on feedback
Customer Experience & Support
- Provide ongoing support and communication to customers throughout the training process
- Address inquiries related to programs, scheduling, materials, and certification
- Manage payment collection, including invoicing and credit card processing
- Follow up on past-due invoices in collaboration with Accounting
Training Operations & Administration
- Schedule training classes and coordinate logistics with instructors and clients
- Maintain accurate and comprehensive training records
- Manage class data, certification details, and invoicing information in internal systems
- Submit requests for CEUs to external organizations
- Manage document storage systems for efficient retrieval and compliance
- Create and maintain department SOPs and process documentation
- Facilitate training classes as needed to support customer requirements or address trainer availability
Inventory & Logistics Management
- Manage inventory of training manuals and materials
- Manage packing and shipping materials for classes and customer orders
- Manage fulfillment of e-commerce orders and internal company requests
- Monitor inventory levels and coordinate replenishment orders
- Ensure training materials reflect the latest standards and updates
Team Leadership & People Management
- Lead and manage a remote team of trainers
- Manage employee performance, including goal setting, evaluations, coaching, development, and disciplinary guidance
- Review class outcomes and provide performance feedback
- Approve PTO requests and expense reports
- Participate in recruiting efforts, including resume reviews and interviews
- Assign and track completion of internal tasks and projects
Financial & Operational Management
- Review and develop the annual department budget
- Conduct monthly budget reviews
- Analyze margins and identify opportunities to improve profitability
- Evaluate and adjust pricing strategies
- Support revenue growth initiatives and cost optimization efforts
Compliance & Continuous Improvement
- Monitor and implement industry standard updates to training materials
- Ensure compliance with certification and accreditation requirements
- Serve as the designated School Director as required
- Maintain regulatory compliance and reporting requirements
Sales & Cross-Functional Collaboration
- Partner with sales teams to follow up on training leads
- Coordinate participation in trade shows and conferences
- Maintain the online Arborist Training store and promotion codes
- Collaborate with accounting, operations, and other departments
Supervisory Responsibilities
Directly supervises Arborist Training Program Coordinators, Trainers, and other assigned personnel. Responsible for performance management, employee development, coaching, corrective action, workload prioritization, and hiring recommendations.
Must haves:
- Associate degree in Business, Forestry, Arboriculture, Education, Training Administration, or related field; or equivalent combination of education and experience
- Five (5) years of experience in training administration, operations, customer service, or related field
- Two (2) years of leadership or supervisory experience
- Experience managing multiple projects and competing priorities
- Valid driver's license
Nice to haves:
- Bachelor's degree in related field
- ISA Certified Arborist credential
- Experience developing and managing training programs
- Experience with budgeting, forecasting, and financial reporting
- Experience responding to RFPs and customer proposals
- Experience in the utility, arboriculture, or vegetation management industry

Physical Requirements & Work Environment
• Ability to sit and work at a computer for extended periods of time
• Ability to lift and move training materials weighing up to 30 pounds
• Ability to travel to training locations, conferences, trade shows, and customer meetings
• Ability to operate standard office equipment
Travel Requirements
• Up to 15–25% travel, including occasional overnight travel
