Symbios is a small, growing medical practice seeking a detail-oriented and experienced Accounts Payable & Accounting Clerk to join our team on a part-time, fully remote basis. Reporting directly to the Chief Financial Officer, this position supports the day-to-day financial operations of the practice, including invoice processing, vendor management, bank reconciliations, and general ledger maintenance. The ideal candidate is self-motivated, highly organized, and comfortable working independently in a remote environment.
Key Responsibilities
• Process and code vendor invoices accurately and in a timely manner
• Manage accounts payable workflow, including purchase order matching and payment scheduling
• Use BILL (formerly Bill.com) for invoice routing, approvals, and vendor management
• Reconcile vendor statements and resolve billing discrepancies
• Maintain and update the general ledger in QuickBooks Online
• Perform monthly bank and credit card reconciliations
• Assist with month-end and year-end close processes
• Generate financial reports and assist with budget tracking as directed by the CFO
• Maintain organized digital filing of invoices, receipts, and financial records
• Communicate with vendors, suppliers, and internal staff regarding invoice and payment inquiries
• Provide ad hoc accounting support to the CFO as needed
• Ensure compliance with internal controls and practice financial policies
Required Qualifications
• Minimum 2–3 years of accounts payable or general accounting experience, preferably in a healthcare or medical office setting
• Proficiency in BILL (Bill.com) for invoice management, workflow routing, and approvals
• Proficiency in QuickBooks Online (QBO) — certification is a plus
• Strong working knowledge of Microsoft Office Suite, including Word, Excel, and Outlook
• Experience with Excel functions including pivot tables, VLOOKUP/XLOOKUP, and data formatting
• Solid understanding of basic accounting principles (debits, credits, accruals)
• Exceptional attention to detail and accuracy in data entry and financial reporting
• Strong time-management skills with the ability to prioritize and meet deadlines independently
• Reliable high-speed internet connection and a dedicated, distraction-free home workspace
Preferred Qualifications
• Associate's or Bachelor's degree in Accounting, Finance, or a related field
• Experience working in a small business or medical/healthcare environment
• Familiarity with HIPAA compliance and healthcare financial practices
• QuickBooks Online ProAdvisor Certification

• BILL (Bill.com) — invoice management, approval workflows, and vendor correspondence
• QuickBooks Online (QBO) — general ledger, reporting, and reconciliations
• Microsoft Word — correspondence, memos, and document formatting
• Microsoft Excel — financial tracking, reporting, and data analysis
• Microsoft Outlook — professional email and calendar management
• Microsoft Teams or similar — remote collaboration and communication
• Ability to learn new practice management and financial software as needed
Work Environment & Schedule
This is a part-time, fully remote position, estimated at 15 hours per week. The successful candidate must be available during standard business hours (Monday–Friday) for coordination with the CFO and other team members. Occasional video calls or virtual meetings will be required. The position does not require travel.
