The Air Operations Specialist manages the end-to-end lifecycle of group and individual airline reservations utilizing the Amadeus Global Distribution System (GDS). This role is responsible for ensuring compliance with TSA regulations, executing precise ticketing and ticket exchanges, managing ancillary passenger requests, and collaborating with Account Managers to deliver seamless flight logistics.
The Air Operations Specialist manages the end-to-end lifecycle of group and individual airline reservations utilizing the Amadeus Global Distribution System (GDS). This role is responsible for ensuring compliance with TSA regulations, executing precise ticketing and ticket exchanges, managing ancillary passenger requests, and collaborating with Account Managers to deliver seamless flight logistics. Key Responsibilities
Queue & Flight Reservation Management
- Inventory Monitoring: Actively monitor Amadeus reservation queues to identify, troubleshoot, and resolve ticketing errors or schedule changes.
- Booking Execution: Secure new flight reservations and continuously monitor existing bookings to ensure itinerary stability and fare compliance.
Ticketing & Compliance
- Issuance & Verification: Issue airline tickets upon request following strict alignment and compliance reviews conducted by Account Managers (AM) or Series coordinators.
- Exchanges & Reissues: Process ticket exchanges and reissues driven by volunteer/passenger changes, upgrades, or schedule modifications.
- Ad-Hoc Group Support: Provide rapid-response assistance for group air inquiries, including the precise entry of passenger names, Secure Flight TSA data, and final ticketing.
Passenger Services & Ancillary Management
- Data Integrity: Input and verify critical passenger documentation, including passport details and TSA information, ensuring 100% data accuracy.
- Ancillary Fulfillment: Coordinate and input special passenger requests, including meal preferences, wheelchair assistance, and additional baggage allowances.
- Seating & Documentation: Manage seat assignments post-ticket issuance and distribute Electronic Tickets (ETs) along with confirmed seat details directly to passengers.
Air Program Management Assistance
- Records Management: Keep Company Airline POCs and Contact Information up to date and accurate
- Pricing Assistance: Update airport add-on rates and assist with air pricing as needed
Specific Duties:
- Book new and monitor existing air reservations.
- Monitor reservation queues and fix or exchange tickets as needed.
- Issue tickets upon request and after alignment review by Account Manager (AM) or series.
- Assist ad hoc with group air inquiries, including entry name, TSA, and issuance of tickets.
- Exchange tickets upon request by AM or series due to volunteer change or upgrade.
- Assign seats after issuance of tickets and send Electronic Tickets (ET) with seat assignments to passengers.
- Enter passport and TSA information as received from passengers.
- Enter in special requests such as luggage, wheelchairs, meals etc.
- Maintain records of Airline POCs and Contact Information
- Maintain records of Airline Emergency Helpdesk and Medical Desk Contact Information
- Update Company Airport Add-On Rates
