Profile Requirements:

  • Experience: Minimum 3-5 years in admissions coordination, enrollment marketing, lead generation, education outreach, or a related role involving prospecting and pipeline management
  • Written Communication: Strong English writing skills with the ability to independently draft warm, professional outreach copy appropriate for faith-based and multicultural family audiences
  • CRM & Lead Tracking: Demonstrated experience with HubSpot, Airtable, Google Sheets, or equivalent, including building and maintaining structured pipelines with consistent follow-up cadences
  • Social Media & Community Engagement: Proficiency with Facebook Groups, Nextdoor, Instagram, and scheduling tools (Buffer, Later, or Meta Business Suite) with a track record of generating engagement in parent-facing groups
  • Industry Background: Familiarity with private school admissions, school choice programs, scholarship or voucher-funded enrollment pipelines, or parent-facing education marketing preferred
  • Online Data Research for List Building: Experience using public records, social media platforms, community directories, and online databases to identify and compile targeted prospect lists from scratch in environments where no pre-built contact data exists

Core responsibilities:

  • Community Research & Parent Engagement: Join and engage Houston-area TEFA Facebook groups, homeschool co-ops, Nextdoor communities, and church networks to generate inbound interest from awarded families seeking private school placement
  • Referral Partner Outreach: Build a database of churches, ministries, tutoring centers, after-school programs, and family-focused nonprofits near the school and conduct systematic outreach to generate referrals
  • Inquiry Tracking & Follow-Up Coordination: Maintain a lead tracker covering every prospective family from initial inquiry through confirmed enrollment, logging referral source, tour status, and follow-up dates
  • Parent Communication: Respond to all inbound inquiries via email, phone, Facebook, and website and maintain consistent follow-up with prospective families through every stage from initial interest to confirmed enrollment.
  • Tour Scheduling & Coordination: Coordinate tour dates directly with the school director, send confirmations and reminders, and flag no-shows for immediate re-engagement
  • Directory Maintenance for Digital Visibility: Maintain school profiles across the Odyssey TEFA School Finder, Google Business, TPSA, ACCS, Facebook, and Nextdoor with consistent messaging around TEFA acceptance, accreditation, and bilingual instruction
