The Account Coordinator serves as a key liaison between Agents and internal Brokerage Transaction Services (BTS) teams while acting as the primary owner of incoming project requests.
The role ensures all Broker Opinion of Value (BOV), Offering Memorandum (OM), and Financial Analysis (FA) requests are properly reviewed, organized, and launched for production while maintaining exceptional agent service, workflow integrity, and operational excellence. By combining project intake responsibilities with ongoing account coordination, this role plays a critical part in driving project efficiency, quality, and agent satisfaction.
The base salary range for this role is $75,000 – $85,000 per year. Actual pay will be determined by factors such as education, experience, and job-related skills relevant to the role. Marcus & Millichap is a multi-state employer and posted salary ranges are provided in good faith for compliance with all relevant pay-transparency regulations. Responsibilities
Workflow Management
- Serve as the primary owner of all incoming project requests submitted through the BTS intake portal.
- Review project submissions for completeness, accuracy, and compliance with established standards before initiating workflows.
- Validate all submitted documentation, marketing materials, property information, and supporting assets.
- Identify missing, incomplete, or inconsistent information and proactively resolve issues prior to project assignment.
- Apply detailed quality assurance procedures to ensure projects meet operational requirements before entering production.
- Create and configure projects within Asana using established workflow templates.
- Populate all project details, custom fields, tasks, dependencies, timelines, and supporting documentation with precision.
- Ensure all required project information is accurately entered and organized according to departmental standards.
- Build and maintain strong relationships with agents and internal stakeholders, ensuring expectations are clearly communicated and deliverables are met with precision.
- Investigate and resolve agent-related escalations, collaborating with leadership to address issues quickly and effectively.
Progress Reporting & Data Integrity
- Maintain up-to-date and accurate data across all relevant systems and tools.
- Monitor project progress and generate clear, articulate reports for internal stakeholders and leadership.
- Ensure reporting reflects current status, key milestones, and any risks or delays, enabling informed decision-making and proactive support.
Qualifications
- 3 years of experience in Account Coordination, Marketing Communications, in a creative agency, marketing department or within the commercial real estate or similar industry.
- Exceptional customer service skills with a focus on agent satisfaction.
- Experience using task management systems such as Asana or Jira in a professional setting.
- Strong technical proficiency across digital platforms.
- Self-motivated, adaptable, and able to work independently or collaboratively.
- Meticulous attention to detail and a process-improvement mindset.
- Ability to multitask and thrive in a high-volume, fast-paced environment.
- Creative and proactive problem solver who can navigate complex situations and provide solutions quickly.
- Familiarity with Commercial Real Estate terminology or willingness to learn.
