We are currently seeking an experienced Virtual Medical Assistant – MedSpa Specialist to support a premium US-based Medical Spa.

This is not a general virtual assistant role.

We're looking for someone who understands the aesthetics and cosmetic wellness industry, can confidently communicate with patients, manage bookings and leads, and represent a luxury patient experience remotely.

If you've previously supported a MedSpa, cosmetic clinic, dermatology practice, or plastic surgery office, this could be the opportunity you've been looking for.

What You'll Be Responsible For:

Patient Experience & Communication

  • Respond to patient inquiries via phone, email, SMS, and social media
  • Provide professional guidance regarding services, pricing, availability, and treatment information
  • Deliver a warm, responsive, and high-touch patient experience
  • Maintain consistent communication aligned with clinic standards

Appointment & Calendar Management

  • Schedule consultations and treatment appointments
  • Confirm, reschedule, and follow up on bookings
  • Help minimize no-shows through proactive communication
  • Coordinate multiple provider calendars efficiently

Lead Management & Patient Conversion

  • Respond rapidly to new inquiries and consultation requests
  • Nurture prospective patients through the booking process
  • Track and manage lead activity within CRM platforms
  • Support consultation conversion and patient acquisition efforts

Patient Retention & Follow-Up

  • Conduct post-treatment follow-up communications
  • Send reminders for treatment plans and maintenance services
  • Reactivate inactive patients
  • Support membership renewals and package retention campaigns

Administrative Support

  • Maintain accurate patient records and documentation
  • Process intake forms and patient information
  • Update CRM and EMR systems
  • Ensure strict compliance with patient confidentiality and HIPAA requirements

Marketing & Reputation Support

  • Assist with review generation and online reputation management
  • Support seasonal promotions and clinic campaigns
  • Maintain patient communication databases
  • Assist with email and SMS marketing initiatives


Experience We Are Looking For:

Required

  • Minimum 2 years of experience as a:
    • Virtual Medical Assistant
    • Medical Receptionist
    • Patient Coordinator
    • Medical Administrative Assistant
  • Previous experience supporting a:
    • Medical Spa (MedSpa)
    • Aesthetic Clinic
    • Cosmetic Practice
    • Dermatology Clinic
    • Plastic Surgery Practice
  • Strong written and spoken English suitable for US patient interactions
  • Experience with patient scheduling, lead follow-up, and appointment coordination
  • Proven experience working remotely
  • Understanding of HIPAA compliance and patient confidentiality standards

Preferred

  • Experience supporting US-based MedSpa or aesthetic clients remotely
  • Background in patient conversion and retention campaigns
  • Familiarity with MedSpa-specific software platforms
