The Vacation Relations Coordinator serves as a primary support contact for travelers, assisting with vacation research, reservation coordination, and itinerary planning. They maintain ongoing communication with clients to ensure all trip details, payments, and preferences are accurately managed from inquiry to departure.
Position Summary

As a Vacation Relations Coordinator, you will serve as a consistent point of support for travelers as they explore destinations, make planning decisions, and prepare for upcoming trips.
This position combines client communication, vacation research, reservation coordination, and follow-up. You will help travelers understand available choices, keep important details organized, and provide responsive assistance throughout the planning experience.
New to the travel industry? Previous professional travel experience is not required. Training, mentorship, supplier education, and ongoing resources are provided to help you learn the processes and tools used in the role.
How You'll Make an Impact
- Establish positive relationships with travelers from their initial inquiry through trip preparation
- Ask questions to understand vacation goals, preferred dates, destination interests, travel style, and budget considerations
- Research hotels, resorts, cruises, transportation, tours, excursions, attractions, and other vacation experiences
- Identify suitable possibilities based on each traveler's priorities and requested features
- Help clients understand differences between available travel options
- Support clients as they select accommodations, transportation, activities, and additional vacation services
- Coordinate requested arrangements using authorized supplier resources and reservation systems
- Keep reservation information organized and provide clear summaries of important trip details
- Share confirmations, schedules, itinerary information, deadlines, and applicable travel documents
- Maintain communication with travelers as their vacation approaches
- Follow up regarding outstanding decisions, required information, payments, or planning items
- Respond to routine questions about existing travel arrangements
- Assist with schedule adjustments, reservation changes, cancellations, and special requests when needed
- Review names, dates, services, and other booking information to help identify discrepancies
- Maintain accurate records of client preferences, conversations, requests, and reservation activity
- Participate in supplier education and destination training to expand your knowledge of available vacation experiences
