The Systems Specialist serves as the primary point of contact for day-to-day system administration and ensures the integrity of project data across assigned accounts. Responsibilities / Position overview
The Systems Specialist serves as the primary point of contact for day-to-day system administration across assigned accounts, playing a critical role in ensuring the accuracy and integrity of project data. This role sits at the intersection of project delivery, finance operations, and systems management, acting as a key connector between internal teams to keep projects on track and financial data aligned.
Essential Duties/Responsibilities
- Serve as the designated primary point of contact for day-to-day Kantata system administration on assigned accounts, ensuring the integrity of all assigned project-related data.
- Maintain a working understanding of NetSuite as it relates to Kantata functionality.
- Liaise with Client Project Leads to maintain accurate, up-to-date project information, including aligning project values based on client scope of work or change orders, invoicing cadence, addition of people resources, etc.
- Liaise with Finance Operations for Sales Order set-up and changes, as appropriate.
- Attend internal team status meetings and update systems accordingly based on discussions.
- Inform the Client Project Lead when billing volume risks potential overage on a deliverable/task.
- Review out-of-pocket costs included each month on completed Client invoices and update system to ensure those costs are marked as completed.
- Monitor Kantata for potential client overservice situations;communicate relevant tasks and details to the Client Project Lead in a timely manner for further action planning.
- Schedule and attend monthly EAC meetings; ensure details discussed are reflected in Kantata in alignment with soft and hard close deadlines and related activities.
- Capture and action month-end changes required across assigned projects.
- Support business planning preparation by helping to compile required information in the agreed format.
- Upon confirmation from the Client Project Lead that the project is “Complete,” verify that all tasks, billing milestones, and pass-through cost line items are appropriately marked “Complete,” mark the entire project “Complete” and liaise with Financial Operations to conduct a post-completion audit and execute the archiving process.
Qualifications
- Bachelor’s degree
- 2 years in project administration or coordination; business or financial operational support; ERP/PSA system administration (experience with Kantata or similar system(s), such as FinancialForce, Workday PSA, etc)
- Preferred experience:
- Hands-on experience with managing project budgets, hours, and expenses, as well as coordinating among multiple stakeholders
- Implementing best practices for data accuracy and reporting
- Med Comm industry experience
- Financial acumen
- Attention to detail
- Ability to multi-task and collaborate with internal teams
- Strong oral and written communication skills
