The Supervisor enables smooth, high‑quality execution by orchestrating intake, safeguarding scope, and ensuring complete, well-structured briefs before work begins. The role balances team workload across disciplines, educates requestors to submit high‑quality briefs from the start, and maintains accurate reporting in Jira to provide visibility, predictability, and continuous improvement across multicultural stakeholders.
Responsibilities
- Intake and brief quality
- Drive clear, professional communication with cross-functional requestors and internal execution teams; set expectations and close feedback loops.
- Serve as the primary intake contact for day-to-day requests across marketing, digital, and other functions (e.g., medical, diagnostics).
- Validate scope, clarify requirements, consolidate assets/approvals, and ensure high-quality briefs prior to assignment.
- Educate requestors on brief standards and promote consistent ways of working.
- Traffic and workload balancing
- Prioritize and route work to execution teams, balancing capacity and complexity.
- Assign activities, monitor progress, remove minor blockers, and coordinate handoffs to maintain flow and SLAs.
3. Reporting and governance

- Promote complete, accurate Jira records to support operational visibility and decision-making.
- Use JIRA as main tool for visibility, coordination and follow-up; prepare concise status updates as needed.
4. Continuous improvement

- Identify reuse opportunities, template gaps, and process optimizations; reinforce standards across teams and markets.
- Prepare for adoption of GenAI capabilities to enhance intake validation, brief quality, and reporting.
5. Limited execution (exceptional cases)

- Perform simple tasks when explicitly required (e.g., PDF migrations, basic translations) without detracting from core coordination responsibilities.
Requirements:
- Bachelor’s degree in Business Administration, Marketing, Computer Science, or Design (or equivalent practical experience).
- Entry-level to 5+ years of experience in digital operations, marketing coordination, project coordination, or related roles.
- Business-level English reading and writing proficiency.
- Intermediate proficiency with Veeva and Microsoft Office.
Skills
- Attention to detail: Ensures complete briefs, accurate Jira data, and clean handoffs.
- Digital proficiency: Comfortable with Jira, Planner, and common digital content workflows; fast learner for Adobe/GenAI/Copilot.
- Stakeholder management: Clear, diplomatic communicator; educates and understands requestors and aligns expectations.
- Collaboration: Works closely with multidisciplinary teams in a multicultural environment; promotes consistent standards.
