1 MISSION OF THE DEPARTMENT

 

The Director General's Office unites and supports WWF International and the Network in unleashing the full potential of our federated structure through robust governance, strategic internal and external engagement, and special projects. Operating in line with WWF's Values, the Office facilitates impactful, accountable, and inclusive decision-making for WWF International and the Network's governing bodies, including the International Board, Network Executive Team, Council, Assembly, Board and NET Committees, the WWF International Executive Team, and the WWF International Senior Leadership Team. It engenders network-wide coordination and action towards WWF's priorities as set by these governing bodies; ensures the institutional arrangements and structure of the Network are sound and operating with integrity; and drives results towards the highest priorities of WWF's Director General and President. 

2 MAJOR FUNCTIONS

 

The Project Management Officer provides temporary project management, coordination and strategic support to the Special Advisor to the Director General during a set period of time. The role ensures effective delivery across a broad portfolio of initiatives and provides dedicated support for the development of the WWF International Strategic Plan. In both capacities, the Project Management Officer will be expected to develop supporting content, including correspondence with executives, high-level presentations, and effective engagement agendas. 

3 MAJOR DUTIES AND RESPONSIBILITIES


 

  1. Overarching Project Coordination and “Air Traffic Control” (30%) 
  • Maintain visibility across dozens of active projects and priorities within the Director General's Office portfolio. 
  • Coordinate weekly project review meetings and maintain consolidated action and decision trackers. 
  • Monitor progress against agreed deadlines and proactively follow up with project owners and contributors. 
  • Draft reminders, follow-up notes, and requests for information on behalf of the Special Advisor. 
  • Track dependencies, risks, and opportunities across projects and facilitate cross-team coordination. 
  • Prepare summary dashboards, progress reports, and briefing notes to support decision-making. 
  • Support planning and execution of special projects and strategic initiatives as assigned. 
  1. Project Management of Key Projects (50%) 
  • Serve as project management support for two major efforts: the development of the WWF International Strategic Plan and a Network Working Group on Roadmap 2030. 
  • Maintain the overall strategic planning workplan, timeline, milestones, dependencies, and action trackers. 
  • Draft agendas and pre-meeting reading materials. 
  • Coordinate meetings, workshops, interviews, consultations, and governance discussions related to development of the Strategic Plan and the Working Group. 
  • Follow up with workstream leads, subject matter experts, and stakeholders to ensure timely delivery of inputs and outputs. 
  • Prepare concise project status updates, decision logs, and briefing materials. 
  • Identify emerging risks, delays, or bottlenecks and escalate issues appropriately. 
  • Ensure strategic planning documentation is organised, current, and accessible. 
  1. Correspondence, Engagement and Content Development/Management (15%) 
  • Draft and edit correspondence, stakeholder communications, briefing notes, reports, presentations, meeting minutes, and meeting materials. 
  • Coordinate collection of inputs and content from colleagues across WWF International and the broader Network. 
  • Edit and quality-control executive-facing documents to ensure clarity, consistency, and professionalism. 
  • Support stakeholder engagement activities, including preparation of agendas, meeting materials, and follow-up communications. 
  • Assist in preparing content for governance and leadership meetings, as well as summary packs for the Executive Team, Senior Leadership Team, Network Executive Team, Board Committees, and International Board as required. 
  1. Administrative and Data Entry Support (5%) 
  • Maintain databases, trackers, calendars, and filing systems. 
  • Support document management, version control, and meeting logistics. 
  • Assist with other administrative tasks as required, for example around in-person meetings. 
  • Ensure project records and team information are accurate and up to date. 

 

4 PROFILE

Required Qualifications.

  • Bachelor's degree or equivalent professional experience. 
  • Minimum of 5 years of relevant experience in project coordination, project management, executive support, administration, or a related field. 
  • Demonstrated ability to manage multiple priorities simultaneously and work across numerous projects. 
  • Strong organisational skills and attention to detail. 
  • Excellent written communication and editing skills in English. 
  • Strong proficiency with Microsoft 365 applications, particularly Outlook, Teams, Word, PowerPoint, Excel, and Planner. 
  • Experience supporting senior executives or leadership teams is highly desirable.

5 WORKING RELATIONSHIPS

Internal.

Reporting to the Special Advisor to the Director General, works closely with colleagues in the Director General's Office, Governance & Network Engagement, Executive Team offices and project leads across WWF International. The role will engage with senior leadership, subject matter experts, and colleagues involved in strategic planning and governance-related processes.

External.

May interact with WWF Network colleagues, external consultants, service providers, and other stakeholders as required.
