What You’ll Do

Support Project Scheduling

  • Assist in building and maintaining project schedules in Microsoft Project.
  • Update task structures, timelines, and resource assignments based on approved changes.
  • Coordinate with Project Managers to ensure schedules reflect current execution plans.
  • Maintain organized schedule documentation and change history.

Maintain Resource & Schedule Alignment

  • Ensure that team members WAM’d (work-authorized) to a project are reflected in the project’s scheduled hours.
  • Identify discrepancies between scheduled resources and charged labor.
  • Work with PMs and team members to resolve misallocations promptly.
  • Help maintain alignment between Microsoft Project schedules and NetSuite project structures.

Support Forecast & Utilization Visibility

  • Provide insight into actual labor usage versus scheduled allocations.
  • Assist in tracking resource utilization across projects.
  • Contribute to weekly and monthly PMO reporting packages.

Strengthen Process Discipline

  • Support alignment between work authorizations and project schedule
  • Ensure schedule structures align with approved budgets and cost codes.
  • Contribute to continuous improvement of scheduling and reporting workflows.

 

What You Bring

  • 1–3 years of experience in project coordination or scheduling support.
  • Proficiency in Microsoft Excel (intermediate to advanced).
  • Expert-level Microsoft Project skills.
  • Strong attention to detail and comfort working with structured financial and labor data.
  • Ability to manage multiple priorities across several projects.
  • Clear, professional communication skills.


Preferred Qualifications:

  • Experience with Replicon time-reporting system.
  • Exposure to NetSuite or other ERP/project accounting platforms.
  • Experience supporting PMO or project controls environments.


Growth Path

  • This role is structured as a growth position within the PMO. High performers will expand responsibility into:
    • Full schedule ownership for assigned projects
    • Resource planning leadership
    • Project controls analysis
    • As the organization scales, this role is expected to evolve into a fully independent Project Scheduler position.
